Position Overview:
The Customer Service Representative (CSR) will be the first point of contact for patients, responsible for providing exceptional service, answering inquiries, and ensuring a smooth experience for all individuals visiting the clinic. The CSR will perform administrative tasks, schedule appointments, manage patient records, and assist with any other duties as needed to support the dental team.

Job Description:

  • Greet patients warmly and provide a positive, welcoming experience.
  • Answer incoming calls and respond to email inquiries in a professional and friendly manner.
  • Assist patients with appointment scheduling, rescheduling, and cancellations.
  • Provide patients with information about the clinic's services, office hours, and insurance policies.
  • Handle patient concerns and complaints, ensuring prompt resolution and a positive outcome.
  • Check-in patients, verify personal information, and ensure accurate patient records.
  • Update patient records in the clinic's management system.
  • Maintain the front office area in an organized and professional manner.
  • Process payments and billing inquiries.
  • Schedule new patient appointments and follow-up appointments.
  • Send appointment reminders to patients via phone, text, or email.
  • Prepare and maintain the daily appointment schedule to ensure smooth office operations.
  • Communicate patient needs, preferences, and concerns to the dental team.
  • Ensure patients are informed about treatment procedures and next steps.
  • Ensure patients have a comfortable experience from check-in to check-out.
  • Follow up with patients post-visit to ensure satisfaction and gather feedback.
  • Maintain a patient-centered approach to create a lasting positive impression.
  • Maintain an organized system for filing patient forms, insurance records, and other necessary documentation.

Qualifications:

  • High school diploma or equivalent.
  • Previous customer service experience, preferably in a healthcare or dental setting.
  • Strong communication and interpersonal skills.
  • Knowledge of dental terminology and procedures is a plus.
  • Proficiency in Microsoft Office.
  • Ability to work in a fast-paced environment and manage multiple tasks effectively.
