Job Summary: We are seeking a detail-oriented and reliable General Clerk specializing in billing to join our accounting team. The General Clerk will be responsible for accurate and timely processing of customer invoices, ensuring proper documentation, and resolving billing inquiries. This role requires strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment. Prior experience in a manufacturing, food industry, or high-volume billing environment is a plus. Responsibilities: • Billing Processing: o Generate and distribute accurate invoices to customers based on sales orders and shipping documents. o Verify pricing, quantities, and discounts on invoices. o Ensure timely and accurate processing of invoices in the accounting system. o Reconcile invoices with shipping and order information. • Data Entry and Record Keeping: o Accurately enter billing data into the accounting system. o Maintain organized and up-to-date billing records and files (both physical and electronic). o Ensure compliance with company policies and procedures. • Customer Service and Communication: o Respond to customer inquiries regarding invoices and billing discrepancies in a professional and timely manner via phone, email, and other communication channels. o Investigate and resolve billing discrepancies, working with sales, shipping, and other departments as needed. o Maintain positive relationships with customers and internal stakeholders. • Reporting and Analysis: o Assist with generating reports on billing activity and outstanding invoices. o Identify and escalate any potential billing issues or discrepancies to the Billing Supervisor. o Contribute to process improvement initiatives to enhance billing efficiency. • General Clerical Duties: o Answer phone calls and direct calls as needed. o Prepare and distribute mail. o Perform other general clerical duties as assigned. Qualifications: • High school diploma or equivalent required; • Proven experience (1-2 years) in a billing, accounting, or clerical role, preferably in a manufacturing or food industry environment. • Strong data entry skills with high accuracy and speed. • Proficiency in using Microsoft Office Suite (Excel, Word, Outlook). • Experience with accounting software (e.g., SAP, Oracle, QuickBooks) is a plus. • Excellent communication, interpersonal, and customer service skills. • Strong organizational and time-management skills. • Ability to work independently and as part of a team. • Detail-oriented and able to maintain accuracy under pressure. • Ability to maintain confidentiality of sensitive information.
