Duties & Responsibility Administer and coordinate appointments for Temporary Staff, Practical Students, and non-permanent academic roles (e.g., External Examiners, Academic Associates, Adjunct Professors, Subject Matter Experts, Consultants, Advisors, Part-Time Lecturers, and External Moderators). Compile all necessary documents and prepare appointment letters. Distribute appointment letters to relevant individuals and faculties/departments. Update records in the HRMS system. Verify attendance of Interns and Temporary Staff and process their payments before deadlines. Verify workload details of lecturers provided by faculties and resolve discrepancies. Collect overall budget estimates for Part-Time Lecturers, prepare memos for estimated costs, and obtain senior management approval. Verify Part-Time Lecturers’ payments with faculties and ensure payment processes adhere to stipulated timelines. Process payments to external vendors related to HR matters using the Navision system. Handle and monitor regulatory matters and requirements, including MQA, SETARA, and MOHE compliance. Prepare documentation, files, and reports as required for regulatory audits and visits. Manage expatriate employee documentation and ensure all expatriates have valid employment pass visas. Update expatriate working permit information in the HRMS system, including reference numbers and expiry dates. Assist in preparing staff-related documentation, such as offer letters, transfer letters, appointment letters, and proposals. Assist in organizing staff engagement activities and events to promote a positive work culture. Support the Head of Human Resources in assigned tasks and ad-hoc HR projects. Skill/ Experience Requirement Up to 1 year of experience, fresh graduates are encouraged to apply. Understand Employment/ Labor Law. Excellent communication skills. Superlative interpersonal and conflict-management abilities. Energetic with a can-do attitude. Top-notch knowledge of business administration and human resources management. Being a good judge of character and maintaining good relations with the HR team. Hands-on experience at MS Office and relevant HRIS programs. Ability to create customized reports highlighting hiring trends in the industry, employee turnover rates, and other critical data. Education Qualification Bachelor's degree required, preferably in human resource management or business administration
