Job Description:

The HR and Admin Executive will be responsible for managing and overseeing various HR and administrative functions within the organization. This role requires a proactive and organized individual who can handle multiple tasks efficiently and ensure compliance with company policies and regulations.

Key Responsibilities:

  • Recruitment and Onboarding: Draft and post job announcements, screen and shortlist candidates, conduct interviews, coordinate with hiring managers, and facilitate new employee onboarding and induction processes.
  • Hostel Management: Oversee the maintenance and upkeep of employee hostels, ensuring compliance with health and safety regulations.
  • Foreign Worker Management: Handle wages, SOCSO contributions, and other statutory requirements; manage work permits, CIDB licenses, and passports; coordinate with FOMEMA for medical checkups.
  • Administrative Duties: Maintain office utilities and ensure timely payment of bills; manage company vehicle maintenance and usage; oversee office fittings and upkeep; handle uniform inventory and orders.
  • Compliance and Documentation: Ensure compliance with local authorities and regulatory bodies; manage expatriate documentation and inspections; handle Merchantrade services and related financial transactions.
  • Employee Welfare: Coordinate clinic visits and medical checkups for employees; maintain attendance records and manage leave applications; conduct housekeeping and disciplinary briefings.
  • Computation and Monitoring: Compute and monitor staff leave balances and OT hours; ensure accurate recording and timely updating of records; handle leave applications and ensure policy compliance; prepare reports on leave balances and OT hours for management review.
  • Communication and Coordination: Liaise with various departments to ensure smooth operations; prepare and distribute memos and reports as required
    • Bachelor’s degree / Diploma in Human Resource Management, Business Administration, or a related field.
    • Strong organizational and multitasking skills.
    • Excellent communication and interpersonal skills.
    • High integrity and sound work ethics.
