Key Responsibilities: Board & PCG Documentation: • Prepare and draft board and PCG papers, summarizing key project updates, risks, decisions, and recommendations. • Coordinate with project teams and senior leaders to gather relevant information and supporting documents for PCG submissions. • Collate and distribute board and PCG meeting agendas and materials, ensuring timely delivery to all stakeholders. • Take accurate minutes during board and PCG meetings, capturing discussions, decisions, and action items. • Finalize, circulate, and archive approved minutes, tracking follow-ups and deadlines. Stakeholder Coordination: • Work closely with directors, project sponsors, senior management, and external consultants to align on reporting requirements. • Act as the liaison between project teams and governance bodies, facilitating communication and information flow. • Manage meeting schedules, ensuring alignment with key project milestones and critical decision points. Governance & Compliance: • Ensure board and PCG documents adhere to internal policies, project governance frameworks, and regulatory requirements. • Maintain a centralized repository of project-related governance documents, including decisions, approvals, and historical records. • Support continuous improvement of governance practices, helping streamline documentation and decision-making processes. Skills & Qualifications: • Education: Bachelor’s degree in Business Administration, Project Management, Corporate Governance, or a related field. • Experience: 3–5 years of experience in project governance, board secretariat functions, or PMO support roles. • Knowledge: Understanding of project management methodologies, corporate governance, and steering committee processes. • Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint). • Communication: Strong written and verbal communication skills in English is paramount, with an ability to present complex information clearly. • Organization: Excellent attention to detail, time management, and the ability to manage multiple priorities under tight deadlines. • Confidentiality: High level of discretion and professionalism when handling sensitive project and corporate information.
