Provide full administrative and secretarial support to the Director to ensure smooth management of day-to-day affairs.
Responsible for organizing and managing every aspects of an event include conceptualizing ideas, planning budgets, booking venues, liaising with external party, managing logistics and presenting post-event reports.
Responsibilities
- Support director directly for daily administration, calendar management, travel schedules, project coordination, delivering presentations, answering calls etc.
- Assist in researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
- Organize and coordinate meetings, prepares meeting rooms for appointments, coordinates schedules, meeting minutes taking, and greet customers and clients prior to meetings.
- Oversee all aspects of event planning and management, including internal and external events, with experience planning exhibitions and large business-to-business events.
- Planning event aspects, such as venue, seating, dining, and guest list.
- Director properties management.
- Staying under budget while planning event specifications.
- Managing and overseeing events on the day of, including problem-solving, welcoming guests, directing event set-up, communicating with staff, and organizing vendors.
Qualifications
- Minimum Degree education in any field.
- At least one year of related experience required.
- Always available on mobile.
- Exemplary planning and time management skills.
- Outstanding verbal and written communications skills.
- Ability to interact with high profile clients and executives.
- Excellent in verbal and communcation skills in English and Malay. Proficiency in Mandarin is a must as it is necessary for communicating with clients and guests.
