POSITION OVERVIEW
The Logistics Assistant II reports to the Warehouse Manager/Supervisor. The key objectives of this role are as follows:
- The Logistics Assistant II will play a crucial role in supporting the smooth and efficient operations of our logistics department.
- The job role will be responsible for assisting with various tasks related to the transportation, storage, and movement of goods inbound and outbound.
- Enhance profitability by overseeing Delivery Expenses and supporting the Warehouse Manager/Supervisor in achieving FLMOH and GM budgets.
PRIMARY DUTIES
- Coordination: Assist in coordinating container inbound and outbound transportation activities, including scheduling, shipment booking, and tracking.
- Cost: Prioritize the business niche to achieve the lowest logistical cost. Discuss with the Warehouse Manager on alarming transportation costs. Advise the sales team on the delivery cost.
- Documentation: Generate delivery orders (DO) considering FIFO methodology based on the sales order (SO). Assist the forwarding team in preparing and maintaining accurate documentation such as shipping manifests, bills of lading, LOI, and customs clearance documents.
- Order Processing: Process incoming and outgoing orders promptly and accurately. Coordinate with the operation, customer service teams, and forwarding partners to ensure timely fulfillment of customer orders and adherence to customer requirements on COO and shipment insurance.
- Invoicing: Verified invoice information accuracy and prepared the payment application for the vendor invoices promptly.
- Communication: Serve as a point of contact for the customer service team, suppliers, forwarders, and carriers regarding shipment status, delivery schedules, and any other logistics-related inquiries. Maintain clear and effective communication channels to facilitate smooth operations.
- Compliance: Ensure compliance with all relevant HBF and local regulations, standards, and procedures governing warehouse and logistics operations.
- Training: Timely complete training in the HBF learning center and workdays and support other team members if required. Responsible for their own training documentation.
- Inventory Management: Support inventory control processes by monitoring stock levels, and reconciling discrepancies. Proper planning in organizing and optimizing warehouse space to ensure efficient storage and retrieval of goods.
- Operation: Effectively participate in inventory counting to ensure inventory accuracy to maintain yearly stock count efficiency. Support the warehouse team, customer service team, buyers, sourcing team, and operation team whenever required.
- Quality Assurance: Monitor quality control measures to uphold service quality and customer satisfaction. Support QMS Audit requirements to create effective SOP in warehouse and logistics.
- Safety: Participate in STOP card initiatives to create a safe working environment in HBF Klang.
- Problem Solving: Identify and resolve logistics-related issues promptly. Collaborate with team members to implement effective solutions and prevent recurrence of problems.
- Continuous Improvement: Actively contribute to process improvement initiatives aimed at enhancing efficiency, reducing costs, and improving overall performance within the logistics department.
- Performs other related tasks as assigned from time to time.
Minimum Requirements
- Degree or Advance Diploma in Logistics, Supply Chain Management, or equivalent qualification.
- Working knowledge of transport regulations, dangerous goods transport, and work safe regulations.
- With at least five (3) years of experience in warehouse and logistic-related operations.
- Experience using warehouse management ERP systems.
- Proficient with Microsoft Office Suite – Excel, Word, Outlook, and PPT.
- Exhibit excellent analytical, communication, and interpersonal skills, and can relate to different levels of an organization.
- Self-motivated, results-oriented, and performance-driven.
PREFERRED QUALIFICATIONS
- Knowledge of CA and COO application with “e-dagang” in MITI (Form AK, D, E, MPCEPA) and FMM.
- Knowledge of the Cargo X platform.
- Knowledge of inventory control procedures.
- Knowledge of warehouse and stock count procedures.
- Basic knowledge of IMDG code.
- Strong teamwork.
