Naval Group Malaysia is hiring a full-time Executive Assistant for permanent position based in Kuala Lumpur.

The ideal candidate will support executives with scheduling, correspondence, travel, and document management while ensuring confidentiality. Strong organizational and communication skills are essential.

Responsibilities:

Provide personal administrative support to the Managing Director, Chief Operating Officer, the Chief Finance Officer and the Sales Manager:

• Maintain Executive’s appointment schedule by planning and scheduling meetings, conferences teleconferences and travel

• Arrange and co-ordinate meetings and events

• Provide general administrative assistance, calls, correspondence, and appointments accordingly as requested by Management with customers, government authorities…

• Prepare and edit correspondence, communications, presentations and other documents

• Provide support, logistic and follow-up for meeting, courtesy call for Management

• Maintain customer confidence and protect operations by keeping information confidential

• Monitor, screen, respond to and distribute incoming communications and answer and manage incoming call to the Executives

• Receive and interact with incoming visitors and external clients

• Liaise with employees at all level

• Record, transcribe and distribute minutes of meetings

• Conduct research, collect and analyze data to prepare reports and documents

• Develop and carry out an efficient documentation and filling system / design and maintain database

• Manage operationally the Receptionist/Administrative Assistant and the two Drivers

Qualifications:

• Bachelor’s Degree in Office Management, Business Management, Business Administration, or any relevant field

• Proficient in Microsoft Office suite

• Experience in managing multiple priorities, administrative coordination, and logistics

• Proven experience in providing support at Director level (same industry would be a plus)
