Job Responsibilities:

  • Assist the Director in daily operational aspects and ensure all tasks assigned are delivered in a timely manner.
  • Typing, compiling, and preparing necessary reports, presentations, and correspondence.
  • Liaising with staff, clients, and government officials.
  • Collating and filing expenses.
  • Build and maintain good relationships.
  • Handling Director’s activities, schedule, and contacts
  • Act as a point of communication and an important link between the Director and Director’s personal contacts.
  • Always standby for ad-hoc schedule changes while the Director is traveling.
  • Provide full support from day-to-day company operations to the Director’s personal matters.
  • Coordinate and prepare meeting room and communication facilities, agenda, souvenirs, coordinate presentation, guest transport, refreshment, lunch, dinner, and receiving of Director’s guests.
  • Organize and maintain appointments and diaries of the Director. Manage tight schedules due to unforeseen schedule changes and a constantly changing environment. To ensure the relevant people are notified of any changes.
  • Read, screen, and arrange systematically all emails and its folders, incoming documents, letters and act accordance to priority. You may be involved in email-replying on behalf of Director.
  • Undertake special assignments, ad-hoc functions, and other duties as and when requested by the Director, including personal matters.
  • Any other tasks assigned by the Director.

Job Requirements:

  • A positive person with a great work ethic and want exposure to senior level positions.
  • Prefer with experience in the related field but will strongly consider candidates that have the right profile.
  • Proficient Microsoft software skills.
  • Hardworking and has a positive working attitude, constant learner, and can-do mindset.
  • Good oral and written communication skills.
  • Have excellent organizational/coordination skills and ability to multitask.
  • Tactful and maintain absolute confidentiality and professionalism with all points of contact. Have a great sense of responsibility.
  • Flexibility, adaptability, and good time management skills.
  • Excellent communication and interpersonal skills.
  • Able to drive Director to appointments.
  • This is not an office based job, 80% traveling with Director.
