Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the project team, including scheduling meetings, preparing agendas, and taking minutes.
- Document Management: Manage project documentation, including filing, tracking, and retrieving documents as needed.
- Budget Management: Assist in managing project budgets, including tracking expenses, processing invoices, and preparing financial reports.
- Communication: Facilitate communication between project team members, clients, and stakeholders, ensuring timely and accurate information flow.
- Logistics Coordination: Coordinate logistics for project-related activities, including travel arrangements, equipment procurement, and site visits.
- Progress Reporting: Prepare and distribute regular project status reports, highlighting key milestones, risks, and issues.
- Resource Allocation: Assist in the allocation and management of project resources, ensuring efficient use of personnel and materials.
- Compliance: Ensure all project activities comply with company policies, industry standards, and regulatory requirements.
- Problem-Solving: Identify and address administrative issues that may arise during the project lifecycle, providing solutions to keep the project on track.
- Support Functions: Provide support for project set-up, including creating project folders and maintaining project management dashboards.
General Requirements:
- Education: Bachelor's degree in Business Administration, Project Management, or a related field.
- Experience: Minimum of 2-3 years of experience in project administration or a similar role.
- Technical Skills: Proficiency in project management software (e.g., MS Project, Primavera) and office applications (e.g., MS Office Suite).
- Organizational Skills: Strong organizational skills with the ability to manage multiple tasks and priorities.
- Communication Skills: Excellent verbal and written communication skills.
- Team Collaboration: Ability to work effectively in a team environment and collaborate with cross-functional teams.
- Attention to Detail: Strong attention to detail and commitment to producing high-quality work.
- Problem-Solving: Good problem-solving skills and the ability to address issues proactively.
