Job Responsibility

  • Sourcing vendor/supplier, examining prospective suppliers and negotiating pricing and contract terms.
  • Maintaining inventory/stock of coffee machine beverage accessories and, ordering, and receiving the supplies and managing records of fixed assets.
  • Preparing orders with PR and PO, tracking orders, ensuring timely deliveries, and reviewing the quality of product.
  • Processing invoices and tracking payment, ensuring timely payment.
  • Overseeing and handling pest control service, keeping track photocopier meter reading.
  • Overseeing and handling expiring contract maintenance service agreements including water dispenser, coffee machine, potted plant, and mineral water.
  • Create and maintain excel tracking system for Admin department.
  • Performing other administrative tasks include updating telephone directory.
  • Manage company administrative documents and archives, assist in formulating and improving administrative policies, and ensure effective implementation.
  • Accomplish organizational goals and other tasks assigned by superiors.

Job Requirements

  • Bachelor's degree (any discipline) or equivalent experience and 4+ years of specialized Possess or at least a diploma or equivalent qualification.
  • Excellent communication skills, both verbal and written.
  • Proficiency in using office software, including Microsoft Excel and Microsoft Words.
  • Having knowledge of basic accounting or construction is a plus point.
  • Strong organizational and multitasking skills.
  • Attention to detail and accuracy in administrative tasks.
  • Punctuality and reliability.
  • To support the overall administration to enhance job responsibility.
