Key Responsibilities1. Executive & Administrative Support

  • Provide comprehensive administrative and secretarial support to the executive.
  • Efficiently manage schedules, calendars, appointments, and claims to ensure seamless workflow.
  • Handle confidential documents, correspondence, and reports with discretion.
  • Draft, review, and manage professional emails, letters, and communications on behalf of the executive.
  • Take meeting notes, draft minutes, and ensure timely follow-up on action items.
  • Meeting & Event Coordination:
  • Coordinate and arrange meetings, conferences, and executive engagements.
  • Organize logistics, venue bookings, agenda preparation, and distribution of materials.
  • Assist in coordinating travel arrangements, including flight bookings, accommodations, and itineraries.
  • Organize and manage departmental meetings, prepare agendas, and support presentation development.
  • Liaison & Communication:
  • Act as a primary liaison between the executive and internal/external stakeholders, including senior management teams and country heads.
  • Maintain clear communication channels and ensure smooth coordination between departments.
  • Manage incoming and outgoing correspondence, emails, and mail sorting.
  • Special Projects & Reporting:
  • Assist in preparing reports, presentations, spreadsheets, and research materials for executive review.
  • Support in managing special projects and strategic initiatives as assigned.
  • Maintain and update records, files, and databases to ensure accurate information management.
