Key Responsibilities1. Executive & Administrative Support
- Provide comprehensive administrative and secretarial support to the executive.
- Efficiently manage schedules, calendars, appointments, and claims to ensure seamless workflow.
- Handle confidential documents, correspondence, and reports with discretion.
- Draft, review, and manage professional emails, letters, and communications on behalf of the executive.
- Take meeting notes, draft minutes, and ensure timely follow-up on action items.
- Meeting & Event Coordination:
- Coordinate and arrange meetings, conferences, and executive engagements.
- Organize logistics, venue bookings, agenda preparation, and distribution of materials.
- Assist in coordinating travel arrangements, including flight bookings, accommodations, and itineraries.
- Organize and manage departmental meetings, prepare agendas, and support presentation development.
- Liaison & Communication:
- Act as a primary liaison between the executive and internal/external stakeholders, including senior management teams and country heads.
- Maintain clear communication channels and ensure smooth coordination between departments.
- Manage incoming and outgoing correspondence, emails, and mail sorting.
- Special Projects & Reporting:
- Assist in preparing reports, presentations, spreadsheets, and research materials for executive review.
- Support in managing special projects and strategic initiatives as assigned.
- Maintain and update records, files, and databases to ensure accurate information management.
