Job Description:
As a Document Controller / Project Administrator , you will play a critical role in ensuring the smooth flow of project documentation and administrative processes. You will be responsible for managing all project-related documents, maintaining accurate records, and providing administrative support to ensure compliance with company policies and regulatory requirements.
Key Responsibilities:
- Document Management:
- Organize, track, and maintain project documentation, including drawings, contracts, reports, and correspondence.
- Ensure all documents are properly filed, version-controlled, and easily accessible to relevant stakeholders.
- Implement and adhere to document control procedures to ensure compliance with internal standards and external regulations.
- Administrative Support:
- Assist the project team with day-to-day administrative tasks, such as scheduling meetings, preparing reports, and managing project timelines.
- Coordinate communication between internal teams, clients, and external vendors to ensure seamless project execution.
- Record Keeping:
- Maintain accurate and up-to-date records of project activities, approvals, and deliverables.
- Prepare and distribute meeting minutes, project updates, and other necessary documentation.
- System Maintenance:
- Utilize document management systems and other software tools to manage electronic files and databases.
- Ensure data integrity and security by following best practices for document storage and retrieval.
- Compliance and Reporting:
- Ensure all documentation complies with ISO, company policies, client requirements, and legal standards.
- Assist in preparing reports for senior management and clients as needed.
Requirements:
- Diploma or Degree in Business Administration, or a related field (or equivalent experience).
- Minimum 2 years of experience in document control, project administration, or a similar role within the construction or engineering industry.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and document management systems.
- Strong organizational skills with meticulous attention to detail.
- Excellent verbal and written communication skills in English; proficiency in Bahasa Malaysia is an advantage.
- Ability to work independently and collaboratively in a fast-paced environment.
- Knowledge of e-Invoicing systems and ISO documentation standards is a plus.
