Event & Facility Executive
JOB DESCRIPTION
An event & facility executive is responsible for overseeing the day-to-day operations of a venue, including coordinating with staff, vendors and clients, maintaining the facility, booking events, ensuring compliance with regulations, and promoting the venue to attract clients, all while ensuring smooth and successful event execution within the venue.
KEY RESPONSIBILITIES:
Operations Management:
· Overseeing all aspects of venue operations, including maintenance, cleanliness, and technical equipment.
· Managing staff schedules, training, and performance evaluations for venue personnel like security, ushers, bartenders, technical team and maintenance crew for events.
· Coordinating with vendors and contractors to ensure event setup and breakdown are executed efficiently.
· Create and implement processes for event venue planning and execution, including event venue proposals, contracts, and invoices
Event Planning and Booking:
· Marketing and promoting the venue to potential clients through various channels.
· Managing event bookings, including scheduling conflicts, pricing, and contract negotiations.
· Collaborating with clients to understand their needs and customize event layouts.
Client Relations:
· Building relationships with clients, addressing concerns, and providing excellent customer service throughout the event planning process.
· Conducting site visits and presenting venue capabilities to potential clients.
Accounts & Administration:
· Managing the event pricing, cost control, and revenue tracking.
· Monitoring and tracking expenses related to staff, maintenance, and vendor services for each event.
· Provide scheduled reports on venue revenue, cost, profit and customer feedback.
Compliance and Safety:
· Ensuring the venue adheres to all local safety regulations and licensing requirements.
· Implementing emergency procedures and managing safety protocols during events.
Required Skills:
· Leadership and Management: Ability to lead and motivate a team of staff members while maintaining a positive work environment.
· Communication Skills: Excellent verbal and written communication to interact with clients, vendors, and staff effectively.
· Organizational Skills: Ability to manage multiple events simultaneously with attention to detail and time management.
· Customer Service: Commitment to providing exceptional customer service to event planners and attendees.
· Technical Knowledge: Understanding of event technology, audio-visual equipment, and venue layout.
Required Qualifications:
- Bachelor’s degree in hospitality management, Business, or a related field
- Minimum 3-5 years’ experience in venue management or event planning.
- Proven track record of successfully managing a team and overseeing venue operations
- Proven track record of successfully managing a venue or similar establishment
- Strong network within the events industry
- Experience in marketing and promotional activities
- Proficiency in financial management and budgeting
- Excellent negotiation skills
- Excellent customer service skills, with the ability to effectively communicate and build relationships with clients
- Ability to work in a fast-paced, high-pressure environment and handle multiple tasks simultaneously
- Strong attention to detail and organizational skills
- Willingness to travel for meetings.
- Valid driver's license and reliable transportation
- Team player, with good sense of responsibility and able to work independently with minimum supervision.
