• To assist Human Resource & Admin Manager to supervise the Administrative spectrum and ensure on going compliance with related policies, regulations and statutory. • Update and maintain documentations to ensure compliance of Integrated Management System (ISO 9001:2015, ISO 14001:2015, ISO 45001:2018). Monitoring, maintaining and coordinating the audit of the IMS. • Responsible for staff insurance claim, including Personal Accident, Hospitalization, Travelling and SOCSO. Liaise with related agency or government bodies for the claim matter. • Execute training related matters, including liaise with the related training provider, Human Resource Development Fund for grant application and claims, maintain accurate records of training courses, evaluation forms, certificates, update the training hours into the system and so forth. • Hostel Management, including liaise with the owner, agent, vendor and staff for the maintenance, renewal, inspection, hand over and termination issues. • Responsible for setting and monitoring the door access performance (E-Win System). Liaise with vendor for any defects for both hardware and software. • Monitor the maturity date of the contract and agreements (e.g. security, cleaning, landscaping, water dispenser, hostel, waste collection, telecommunication and etc.). Liaise with the external service providers on maintenance, renewal, termination, improvement or service upgrade issues. • Monitor the work quality of external service providers to ensure the compliance of SOP and requirements, including cleaning, security, waste collection and landscaping. Provide training to the respective staff from external contractor when necessary. Liaise with the external service providers for any issues arise or improvement needed. • Monitor the service maintenance schedule of Company’s car and liaise with the workshop for routine maintenance service. • Verify the Company phone lines (Office and individual) usage. Investigate and liaise with individual user for any abnormal usage or over usage. • Company property management, including prepare the hand over listing, maintain the record, verify the conditions when returning from staff and etc. • Responsible for monitoring and controlling the inventory of office stationaries, refreshment and cleaning appliance. • Receive and distribute the incoming letter, document or parcel to the respective department/ person. • Assist for the preparation of Company’s event. • Coordinate the admin office maintenance issue with maintenance department. • Responsible for Company’s business license renewal. • Assist in applying visa, transport and flight arrangement, hotel booking for both internal staff and visitors. • Other ad-hoc tasks pertaining to Admin duties as required by the superior.
