Job Description Financial Accounting • Assist in areas of financial accounting and monthly closing activities include but are not limited to general accounting bookkeeping, preparation of journal voucher, generation of monthly reports to HQ Accounts and analysis for management reporting. • Prepare timely and accurate financial reports such as Statement of Profit or Loss (SOPL), Statement of Financial Position (SOFP), Statement of Cash Flows (SOCF), SOFP schedules, Trial Balance (TB) and General Ledger (GL) • Assist Finance Manager in management reporting preparation, monthly forecast and annual budget. • Monitor credit term for all payable amounts to ensure timely payment made and avoid late payment penalties. • Maintain fixed asset register to monitor assets, keep track of carrying value of purchased assets, calculation of monthly depreciation charge and disposal of assets. • Process monthly reconciliations of the GL to sub-ledger and supporting documentations for bank, account receivables and account payables on monthly basis. • Provide administrative support primarily to Finance department and serve as a liaison between Finance and other internal departments on finance and operational matters. • Support ad-hoc requirement/task as assigned by reporting officer. Finance Operation • Prepare sales billing calculation spreadsheet according to sales agreement and other supporting document provided by Operation Department or Sales Department. To submit completed spreadsheet for verification and e-mail sales invoice to individual customers. • Prepare payment certificate, submit it along with supporting document for verification and payment approval according to approval matrix, raise payment request in bank portal or inform HQ Accounts to arrange payment and send remittance advice to individual payees. • Monitor payments with implications on withholding tax or IT tax and inform HQ Accounts before payment made to ensure timely submission of relevant taxes to regulators. • Participate and coordinate quarter and annual inventory count at site warehouse, compile inventory count sheet and ensure reconciliation done on timely manner. • Complete projects as assigned and assist with the cross-functional support to other departments and other administrative assistants to accomplish overall department goals and objectives. Financial Policies and Compliance • Provide support to ensure compliance to regulations, internal control guidelines, policies and SOPs within Finance Department and at entity level. • Organise and maintain files, records and logs as well as to coordinate monthly courier of original hardcopy documents from site office to HQ Accounts for filing. • Maintain customer master data and vendor master data in ERP as required without compromising compliance to PDPA. Dunning Process • Generate monthly Statement of Account (SoA) from ERP and send it to individual customers. Liaise with HQ Accounts to monitor receipt from customers and inform Operation Team or Sales Team to follow up with customers on overdue. • Prepare dunning letters or reminders as and when required. Education and Experience • Minimum Bachelor’s Degree in Finance, Accounting or a related field. • Minimum 3 years of relevant finance working experience, preferably in a startup, technology-driven or engineering environment. • Candidate with audit experience will be an advantage. Skills and Abilities • Problem solving ability, critical thinking, proactive mindset, high integrity and “can-do” attitude. • In-dept knowledge of financial regulations, accounting standards and tax laws. • Proficiency in ERP, financial analysis tool (i.e. Microsoft Power BI and SAP Business Objects) and Microsoft Office (i.e. Excel, Word, Power Point etc.). • Strong ability to prioritise task according to urgency, committed to meeting deadlines and able to multitask. • Timely reporting to superior on task progress. • Excellent organisational and time management skills. • Strong attention to detail to ensure data accuracy. • Outstanding written and verbal communication skills across multiple organisation levels and departments. • Good communication and interpersonal skills and able to build collaborative relationships with both internal and external stakeholders. • Ability to work well in a team environment
