• Performs complex secretarial and administrative support duties which include, but not limited to; creating/preparing general to complex correspondence and spreadsheets, preparing varied and complex reports, creating/designing general to complex PowerPoint presentations and presentation materials, scheduling and maintaining complex schedules in Outlook calendar, and overseeing and coordinating internal and external events. • Performs advanced administrative support duties which include, but not limited to; coordinating travel and accommodations and coordinating/ scheduling meetings and conference calls. • Handles executive-level internal and external communications which includes; handling incoming phone calls, returning phone calls, responding to voice-mails, managing incoming e-mails by forwarding and responding to e-mails as appropriate, and creating and mailing letters and memos on behalf of Executive. • Acts as project manager on assigned projects and provides administrative assistance as needed on other special projects. • Performs department records management duties (electronic and paper), including organizing, retrieval, archiving and storage. • Oversees and performs office management duties. • Performs general administrative support duties which include, but not limited to; opening and distributing mail, preparing outgoing mail, filing and file maintenance, and copying, faxing and scanning. Qualifications • Bachelor’s Degree or equivalent experience • 7+ Years secretary and administrative experience • Advanced Word, Intermediate Excel and PowerPoint skills • Basic math skills • Ability to maintain a high level of confidentiality • Ability to work independently • Ability to be flexible when needed, take initiative, and demonstrate accountability. • Intermediate oral and written communication skills demonstrating ability to share and impart knowledge. • Ability to quickly adapt to new methods, work under tight deadlines and stressful conditions. • Ability to set goals, multitask and prioritize workload. • Intermediate level of investigative, analytical and problem-solving skills • Ability to work well within a team environment and participate in department projects • Ability to balance detail with departmental goals/objectives • Ability to coordinate projects and handle changing priorities. • Ability to demonstrate a positive and professional image
