Job Summary:
We are looking for a detail-oriented and proactive Operations Executive to join our team in the gold and jewelry industry. The ideal candidate will be responsible for supporting the Operations Manager in ensuring the efficient and smooth day-to-day operations of our retail outlets. This includes managing inventory, overseeing store operations, conducting audits, ensuring compliance with company standards, and reporting on performance.
Key Responsibilities:
- Inventory Management :Maintain optimal stock levels, analyze stock movements, forecast inventory needs, and identify slow-moving or fast-moving items.
- Store Operations: Ensure adherence to company policies and procedures, supervise daily store operations, maintain cleanliness and tidiness, and coordinate with other departments for smooth functioning.
- Reporting and Data Analysis: Prepare regular reports on store performance, analyze operational data, and present findings and actionable insights to senior management.
- Audits & Compliance: Conduct regular audits of retail outlets, rectify maintenance issues, ensure compliance with company standards, and monitor security measures.
- Security Oversight: Ensure the security of assets through proper security systems (CCTV, alarms, security personnel) and ensure compliance with security protocols.
- Manpower Management: Monitor manpower requirements and collaborate with relevant teams to ensure adequate and efficient staffing.
- Regulatory Compliance: Ensure compliance with health, safety, and operational regulations, addressing any non-compliance issues in coordination with the relevant departments.
- Equipment & Facility Management: Ensure that all outlet equipment and facilities are in working order, liaising with relevant departments for repairs and maintenance.
- Outlet Inspections: Conduct scheduled inspections of outlets, prepare detailed reports on findings, and recommend actions for improvements.
- Mall Coordination: Liaise with mall management regarding outlet permits, festival closures, and other related matters.
- Pest Control & Maintenance: Assist outlets with pest control arrangements and provide support for maintenance and repair tasks.
- Outlet Set-up & Renovation: Follow up on progress for new outlet set-ups, renovations, openings, and closures, ensuring smooth transitions and adherence to timelines.
- Ad-hoc Tasks: Handle urgent tasks, projects, and other duties as assigned by the Operations Manager.
Requirements:
- Bachelor's degree in Business Administration, Operations Management, or a related field.
- Preferably with prior experience in administration, maintenance, or security roles.
- Must have personal transport and be willing to travel locally or outstation as required.
- Willing to work off-hours or extended hours as needed.
- Proficient in Microsoft Office (Excel, Word, PowerPoint).
- Proficiency in Mandarin (both written and spoken) is required.
- Excellent organizational, analytical, and problem-solving skills.
- Strong communication and interpersonal skills.
- Ability to work under pressure and meet deadlines.
- Solid understanding of retail operations, including inventory control, security, and manpower management.
