Job Title: Purchasing and Inventory Executive

Responsibilities:

Procurement Activities:

  • To adhere to the business's operating schedule, carry out all procurement-related tasks and guarantee on-time delivery from outside suppliers.
  • Examine end-user request details and confirm that RFQ specifications and supporting documentation are accurate.
  • Make sure that the POS-Appia System has all material specifications for purchase requests registered, and assist end users with the registration process if necessary.
  • Determine and choose suppliers, send requests for quotes, and follow up with them as necessary.

Inventory Management:

  • To guarantee the accuracy and completeness of inventory records, keep an eye on and regulate inventory levels, track stock movements, and perform routine stock counts.
  • To guarantee precise stock levels, plan and schedule material demands, carry out inventory stocking, and examine inventory transactions.
  • To guarantee correct stock levels both physically and in the system, confirm physical stock counts and examine inventory transactions.
  • Use inventory control strategies like last-in, first-out (LIFO) or first-in, first-out (FIFO) to maximize inventory turnover and reduce obsolescence.

Supplier Relations:

  • Create and preserve a solid rapport with suppliers, bargain for better conditions, and guarantee on-time delivery.
  • Address any disagreements with outside suppliers about non-compliant products, invoices, or quality problems.
  • Fill out the Supplier Evaluation Chart with your external provider's performance ratings according to their goods and services.

Cost Optimization:

  • Find ways to cut costs by negotiating with suppliers, improving procurement tactics, and obtaining volume discounts.
  • Verify the price budget and compare the purchase orders with the delivery and billing records.

Compliance:

  • Make sure that procurement and inventory management practices adhere to company policies, legal requirements, and industry standards.
  • Keep thorough and current inventory records that detail the receipt, storage, and distribution of inventory.
  • Make sure ISO documents are reviewed every year and are current.

Data Analysis

  • Make educated decisions, predict demand, and efficiently manage inventory levels by using data analysis.

To evaluate inventory performance and spot trends or problems, create inventory reports that include stock levels, aging analysis, and inventory turnover ratio.
Make reports, such as invoice vouchers and summaries, and send them to the finance department.

Qualifications:

  • Diploma or Bachelor's degree in Production and Operations, Supply Chain Management, Business Administration, or a related field.
  • At least 2 years of experience in procurement and inventory management within the manufacturing sector.
  • Proven strong analytical and problem-solving abilities.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office, ERP System for procurement and inventory management
  • High attention to detail and accuracy.
  • Ability to work effectively under pressure and meet deadlines.
  • Strong organizational and time management skills.
  • Working Hours - 8.00am - 5.00pm (Monday to Friday)

Job Types: Full-time, Permanent

Pay: RM2,800.00 - RM3,500.00 per month
