• Take minutes of meeting and maintain records for the operations and project team. • Ensure minutes of meetings are written comprehensively and accurately and thereafter, distributed to the relevant parties promptly. • Perform data-entry, recording, printing and filing duties. • Provide full secretarial and admin support for Project Managers to ensure the smooth running of the projects. • Maintain a proper and user-friendly filing and document control system for tracking of all documents for the project team and department. • Effectively and efficiently manage meeting arrangements including room bookings, presentation set up and presentation materials. • Effectively and efficiently manage telephone calls, emails related to projects or PMO department. • Reminding the project managers of important tasks and deadlines. • Traveling arrangement including venue, car rental, flight ticket and accommodation booking. • Assisting Head of Project Management Office with all the project and PMO department related matters, including getting all the contracts ready, dealing with sales team for project related information, request Bank Guarantee letter, get signature of stakeholders for contract and any other task related to project documentation. • Write, proofread, prepare correspondence and the assigned tasks per Project Manager and the project team requests. • Create reminder every month to admin team on leasing projects invoices. • Attend to any other duties as may be assigned by the Head of Project Management Office from time to time.
