Administrative Support:

  • Assist HR in managing cash flow records.
  • Support HR with urgent tasks.
  • Organize and schedule appointments for HR.
  • Write and distribute emails, correspondence memos, letters, faxes, and forms.

Office Coordination:

  • Purchase stationery and pantry supplies.
  • Collect and keep track of all utility bills.
  • Liaise with technicians regarding office maintenance matters.
  • Update and maintain office policies and procedures.

Data Management and Record-Keeping:

  • Key in all transaction record data into the ILS system.
  • Ensure all data entries are accurate and complete.
  • Maintain data census with accuracy.
  • Check and upload documents and pictures into the system.
  • Prepare claims and develop filing systems.

Compliance and Reporting:

  • Process new license applications.
  • Perform other related duties as assigned from time to time.
  • Proven experience as an administrative assistant, virtual assistant, or office admin assistant.
  • Knowledge of office management systems and procedures.
  • Proficiency in using office equipment such as printers and fax machines.
  • Strong command of MS Office, especially MS Excel and MS PowerPoint.
  • Good time management skills and the ability to prioritize work.
  • Attention to detail and strong problem-solving skills.
  • Strong written and verbal communication skills.
  • Basic understanding of databases.
  • A team player with independence, result orientation, and commitment to tasks.
  • Willing to work beyond office hours to meet deadlines when required by management.
