About the role:
The Recruiting Operations Coordinator plays a crucial role in managing recruiting activities and fostering strong candidate relationships. This position collaborates effectively with internal clients and candidates across our global business, ensuring a seamless and positive candidate experience through prompt and friendly communication. Additionally, the Recruiting Operations Coordinator supports the Global Talent Acquisition function by maintaining online job portals, the job description library, and our Applicant Tracking System. While we ideally prefer someone based in Kuala Lumpur, for this is role.
Your contribution will be:
- Job Requisition Management: Oversee the entire job requisition process from creation to closure, ensuring all job openings are accurately tracked and updated.
- Job Descriptions: Organize and maintain the job description library. Collaborate with regional and business HR teams to update existing job descriptions, collect new ones, and archive outdated versions.
- Recruiting Tool Operations: Manage the recruiting workflow within our Applicant Tracking System (ATS), including referral workflows, Hiring manager surveys, and opening requisitions. Identify and implement areas for improvement to enhance efficiency.
- Job Postings: Assist in creating and posting job advertisements on career websites, job boards, and social media platforms.
- Scheduling: Coordinate communication with candidates and schedule interviews, efficiently managing multiple calendars across various time zones.
- Documentation and Process Improvement: Maintain candidate databases and ensure thorough documentation of all recruitment activities. Assist recruiters in tracking down CVs/resumes and other candidate information.
- Data Integrity in ATS and Reporting: Organize data collected from the ATS, ensuring compliance with regional legislation and industry best practices. This includes:

- Ensuring candidates are categorized under the correct source.
- Tracking down answers to referrals.
- Verifying open dates are accurate.
- Candidate Documentation/Offer Letters: Prepare comprehensive candidate documentation, including rejection emails, offer letters, and technical interview materials.
- Inbox Management and candidate inquires: Proactively manage inbox responses, ensuring all internal and external communications are organized swiftly and reflect our company voice, providing an optimal candidate experience.
- Ad Hoc Projects: Provide support for other talent acquisition-related tasks and projects as needed. This may include editing process documents and making basic updates to SharePoint
To be successful, we think you need:
- Degree in Business Administration/HR or related field or 1+ years' experience in similar role, ideally in a Software company
- Tech-Savvy: Familiarity with various recruitment tools and Applicant Tracking Systems (ATS) or the ability to learn quickly.
- Organized and Detail-Oriented: Excel at managing multiple tasks and maintaining meticulous records. Have the ability to keep track of various recruitment activities ensuring a smooth and efficient hiring process.
- Adaptable and Flexible: Adapt to changes and handle unexpected situations effectively.
- Empathetic and Supportive: Understand the importance of providing a positive candidate and hiring manager experience and be empathetic towards candidates' needs and concerns.
- Effective Communicators: Excellent communication skills for coordinating with candidates, recruiters, and other stakeholders. Be adept at conveying information clearly and professionally
- Proactive and Problem-Solvers: Anticipate potential issues and proactively address them. Take the initiative to consider downstream implications of process changes and be able to understand how actions within the space could impact things like candidate experience, data, reporting and global consistency
