Supervise a team of porters or security officers, cleaners, electrical and mechanical contractors and depending of the size of the development, a team of administrative staff. If the development comprises several blocks. Report to an Operation Manager and will liaise between all the parties involved in the day-to-day management of the building/property The responsibilities as follows:- 1. HUMAN RESOURCE AND ADMINISTRATION a. To perform “Daily Operation” for the management office and to maintain the performances of the management office. b. To supervise daily operation work and provide guidance/direction to the site personal in ensuring that their work performance meets with the required requirement. c. To maintain the good work conduct and if there is any misconduct the issue are to be raised up to the attention of the Operation Manager. 2. BUILDING MANAGEMENT a. To report directly to the operation manager assigned to the particular properties and to fulfil any required assistances needed by the operation manager. b. To ensure all documentation related to the management office are kept orderly. c. To monitor movement in the properties compound of all servicing contractor/general contractor/delivery services/trade person/or other entry of personal to the building/property. d. To monitor/review/inform all performance of appointed service provider for the particular properties. e. To monitor/review and approve all renovation work according to the specified requirement under the Renovation Term & Conditions. f. To ensure monthly management report are prepared and submitted for verification (at the end of the Month) before any submission/ presentation is produce to the Client g. To attend Monthly Management Meeting/Extra Ordinary General Meeting/ Annual General Meeting when scheduled. h. To ensure all purchasing/ procurements quotation and tendering requirement required by the Client, along with the certification by the operation manager. i. To ensure safe work practice is implemented all times by internal work or awarded work for the particular properties. j. To facilitate calling of quotation and tabulation of procurement approval needed for the sought work along with the recommendation and approval from the operation before it is submitted to the Client. k. To uphold the enforcement of “House Rules” and other regulatory requirement involved in property management. l. To anticipate daily management problems and “residents’ complaints” which is too complicated to be solved by the Building Executive are to seek advice and guidance from the Operation manager at the earliest opportunity. m. Compulsory to prepare Projection Chart and submit to Operation Manager on weekly basis 3. BUILDING MAINTENANCE a. To supervise, monitor and control all building operation including common areas, access control, security procedure, cleaning operation, maintenance program, and any other related matter on the building operation achieve satisfactory standard. b. To conduct regularly inspect the property to ensure all repair/facilities and operation is being maintained. c. To designated work to other site staff under the building manager effectively and fairly according to the designated scope of works. d. To ensure all feedback & complaint submitted to the management office are attended promptly. e. To coordinate all liaison with any related professionals/consultants and the relevant authorities as and when required. f. To oversee the smooth running of any repair/replacement or upgrading work conducted for the respective properties. 4. FINANCIAL MANAGEMENT a. To ensure monthly billing and periodic billing are prepared and submitted on the stipulated date. b. To ensure prompt Bank-IN for daily collection are conducted.
