Reporting to People Services Time to Pay (T2P) Lead with solid line and Country Operation manager with dotted line, this role contributes to compliant Human Resource (HR) operation management and employee satisfaction through accurate payroll, time and attendance and benefit operations aligned with HR strategy, a positive employee experience through effective query management and change management for excellence and risk mitigation. Key responsibilities include:
Payroll Operations
Expertise in Payroll Processes: Provide expert knowledge on payroll systems and processes, ensuring accuracy in payroll execution, including salary payments, bonuses, benefits, and deductions.
Knowledge in Time and Attendance Processes: Provide knowledge on time and attendance systems and processes, ensuring accuracy in data execution, including overtime and leaves.
Compliance Management: Ensure payroll operations comply with local and global tax regulations, labor laws, and company policies, advising on legislative changes and necessary adjustments to the payroll system.
Process Improvement: Identify opportunities for process automation and optimization to increase the efficiency of payroll processing. Lead or support payroll system enhancements, upgrades, or transitions.
Stakeholder Collaboration: Work closely with HR, Finance, IT, and external vendors to resolve payroll-related issues, ensuring smooth coordination across departments.
Problem Resolution: Investigate and resolve complex payroll discrepancies, escalations, and employee queries in a timely manner.
Training and Mentoring: Provide guidance, training, and knowledge-sharing to payroll teams, ensuring all members are up to date on best practices and compliance requirements.
Reporting and Auditing: Ensure timely and accurate payroll reporting for audits, financial statements, and regulatory filings. Conduct periodic payroll audits to maintain high standards of accuracy.
Vendor Management: Liaise with third-party payroll providers and ensure their services meet organizational standards and compliance.
Ticket Management
Support as Tier 2 T2P queries: Monitor and manage incoming tickets regarding payroll and benefit programs via the ServiceNow system, ensuring all queries are logged, categorized, and prioritized correctly.
Respond to employee queries in a timely and professional manner, providing solutions or escalating when necessary.
Ensure tickets are resolved within agreed service level agreements (SLAs).
Track ticket progress and follow up to ensure timely closure of all queries.
Investigate and troubleshoot issues raised by employees, providing accurate and effective resolutions.Collaborate with relevant departments (HR, IT, Payroll, etc.) to gather necessary information for ticket resolution.
Proactively identify recurring issues and work with teams to implement long-term solutions.
Continuous Improvements and Excellence
Generate regular reports on ticket performance, resolution times, and common issues for review with management.
Suggest process improvements based on ticket trends and employee feedback.
Assist with internal and external audits of payroll and benefits records, tax filings and related documentation.Education background: Bachelor’s degree and above in relevant fields (Business Administration, Human Resources etc.)
About You
Bachelor’s degree and above
Ideally 2-3 years of HR experience in payroll and benefit operation
Experience in pharmaceutical industry is an advantage
Understands business operations and local labor laws related to payroll and social insurance
Strong execution skill sets and disciplined approach to execute programs.
Good communication and analytical skills
Good command of Computer skills (MS Office)
Good in English & Japanese (mandatory requirements)
