Responsibilities includes:
Office Administrator
Supervision of all office matters daily
- Welcoming visitors and directing them to the relevant office/personnel in a professional manner
- Attend to incoming call with a professional and pleasant tone
- Manage and upkeep inventory of office stationery, general office supplies, business card and refreshments
- Ensure office working area, Meeting Rooms, are maintained at optimal standards
- Handle all incoming and outgoing mail matters including but not limited to: Sorting incoming mail and courier, handing mail to courier companies, and distributing to respective employees.
- Coordinate and liaise with all functions to support and facilitate activities, events and meetings.
- Liaising with Building Management office regarding air-conditioning and other related matters.
- Keep an open and constructive approach on opportunities to improve and raise the service levels of all the above
- Any ad hoc or other duties assigned as and when by key stakeholders.
Workshop/project supports
Coordinate and support the successful preparation of designated programs, especially on materials printing & shipping, logistics and booking of venues.
- Providing onsite support (e.g. managing venue set-up, printing, and any other logistical needs) for key programs
- Able to communicate with clients on-the ground to coordinate workshop setup & logistics
- Comfortable operating recording devices e.g. camera to record workshops and take group pictures where necessary
- Ability to speak Malay would be an advantage
Support facilitator as Digital Operator/ Virtual Machine Operator on virtual programme delivery
Requirement
Minimum Diploma holder
- Minimum 5 years of Office Administrative and related experience
- Upbeat, positive attitude with an attention to detail
- Proactive and confident with outstanding problem-solving skills
- Strong influencer and skilled in successfully communicating with people at all levels
- Strong integrity with ability to handle highly confidential situations with professionalism
- Ability to work autonomously and collaboratively in a fast-paced and multicultural environment
- Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
