Proficiency in using Microsoft Office applications, general computer knowledge and calendar management tools. 5. Ability to work independently and meet deadlines. 6. Adaptability and a proactive approach to problem solving. 7. Discretion and the ability to handle confidential information. Job Responsibilities 1. Schedule Management (a) Organize and manage the executive’s calendar, including scheduling meetings, appointments, and events. (b) Prioritize and coordinate commitments, ensuring optimal use of time. 2. Communication Coordination (a) Act as a primary point of contact between the CEO and internal / external stakeholders. (b) Handle and filter incoming emails, calls and messages, responding on behalf of the CEO when appropriate. 3. Travel Coordination (a) Arrange and coordinate travel itineraries, including flights, accommodation, and transportation. (b) Provide detailed travel agendas and necessart documentation. 4. Documentation and Record Keeping (a) Prepare and edit documents, presentations, and reports as required. (b) Maintain organized records of important information, documents, and contacts. 5. Meeting Support (a) Prepare meeting agendas, attend meetings, and take accurate minutes. (b) Coordinate logistics for meetings, conferences and events. 6. Task Prioritization (a) Assist in prioritizing tasks and deadlines, ensuring that the CEO’s objectives are met efficiently. 7. Confidentiality and Discretion (a) Handle sensitive information with the utmost confidentiality and discretion.
