Responsibilities: Front Desk Management - Greet and welcome visitors in a professional and friendly manner. - Direct guests to the appropriate person or department. - Maintain a tidy and organized reception area with all necessary stationery and material. Communication Handling - Answer and direct incoming phone calls promptly and professionally. - Record messages and forward them to the appropriate personnel. - Respond to general inquiries via phone, teams and email. Administrative Support - Manage incoming and outgoing mail, courier services, parcel and deliveries. - Maintain office supplies and always ensure availability. - Assist with document preparation, update the phone directory, maintain records of calls, letters and other relevant information and ensure accuracy in records. - Undertakes any other tasks and assignments as directed by the Management Meeting and Event Coordination - Schedule and manage meeting room bookings. - Assist in preparing meeting materials and refreshments. - Coordinate visitor arrangements as needed. Security and Compliance - Monitor and manage visitor logbooks and access control procedures. - Follow company policies regarding confidentiality and data protection. Qualifications: - Minimum SPM qualification with at least 2 years of experience as a Secretary or Administrative Assistant. - At least 2 years of hands-on experience in customer service, secretarial duties, office administration, or a similar role. - Strong communication and writing skills, with a good understanding of the company’s operations and business. - Ability to effectively engage with customers, colleagues, and stakeholders through strong interpersonal and communication skills. - Self-motivated, independent, and able to work under pressure while meeting tight deadlines.
