JOB HIGHLIGHTS

This is an Individual contributor role involves consistently involving administrative tasks to support Associate and Client related matters. The ideal candidate will manage contract issuance, maintain our internal systems, and handle various administrative tasks. This role is vital in ensuring the smooth operational activities by providing essential administrative support and ensuring compliance with company procedures.

JOB DESCRIPTION

· Contract Management

Ø Draft, issue, and manage contracts for new hires and contract renewals.

Ø Ensure timely and accurate issuance of employment contracts, keeping track of deadlines and necessary documentation.

Ø Collaborate with internal stakeholders to ensure legal and compliance requirements are met in contract preparation.

· System Maintenance

Ø Maintain and update the internal systems and Client systems (based on client requirements) with accurate and up-to-date information.

Ø Ensure the confidentiality and security of all data within the system in accordance with company policies and procedures.

· Ad Hoc Administrative Support

Ø Draft various types of ad hoc letters, such as disciplinary letters, employment confirmation letters, reference letters and other related correspondence.

Ø Handle day-to-day administrative tasks including documentation, filing, and maintaining internal records.

Ø Provide support to the HR and other internal team members in managing administrative processes and paperwork.

Ø Provide support in costing / quotation preparation based on Client requirements.

Ø Provide support in external vendor management example Medical & Insurance provider, Background Check Provider.

Ø Support in arranging any medical check up if required.

· Compliance and Documentation

Ø Ensure that all the contracts, letters, and system entries comply with company policies and local laws and regulations.

Ø Maintain accurate documentation and assist with audit preparations (internal and external) when required.

CANDIDATE PROFILE/JOB REQUIREMENTS

· SPM, diploma, bachelor’s degree or equivalent.

· Strong verbal and written communication skills.

· Proficient in Word, Excel, Outlook, and PowerPoint and experience with HR / recruitment systems.

· Proven experience in an administrative or support role, ideally within the recruitment or HR sector.

· Strong organizational skills with excellent attention to detail.

· Familiarity with contract management and understanding of HR-related documentation is a plus.

· Ability to maintain confidentiality and handle sensitive information.
