  • Provide and maintain a full spectrum of secretarial and administrative support, including appointment scheduling, travel arrangements, and document management.
  • Arrange and coordinate internal and external business meetings, industry events, and networking engagements.
  • Prepare and organize meeting agendas, minutes, and follow-ups for discussions with suppliers, clients, and business partners.
  • Assist in business negotiations and discussions, ensuring all necessary documents are prepared in advance.
  • Handle daily incoming and outgoing communications, including emails, calls, and messages on behalf of the Managing Director.
  • Act as a liaison between the Managing Director and internal departments to ensure smooth communication and operational efficiency.
  • Maintain an effective filing system for documents, contracts, and reports.
  • Prepare and manage correspondences for Managing Director’s approval and signature, summarizing key points when necessary.
  • Travel with the Managing Director for business meetings and site visits with suppliers and partners.
  • Ensure confidentiality in handling sensitive company information and executive-level decisions.
  • Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
  • at least 2 years of experience in an executive assistant, secretarial, or administrative role.
  • Strong organizational and time-management skills to handle multiple tasks efficiently.
  • Excellent verbal and written communication skills in English and Bahasa Malaysia (additional languages are a plus).
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and Google Suite.
  • Able to travel locally and internationally as required.
  • Strong attention to detail and ability to work independently.
  • Prior experience in the travel, hospitality, or event management industry is an advantage.
  • Ability to maintain high levels of confidentiality and discretion in all business matters.
