This is a full-time, on-site role in Petaling Jaya, Selangor for a Training & Administrative Executive. Requirements: • A minimum of a Diploma (in any discipline) or equivalent; preferably a Degree in a Business- Related discipline. • At least 1-2 years of relevant experience in handling administrative tasks. • Ability to work with minimal supervision, demonstrate initiative, and be self-disciplined. Strong time management skills and the ability to prioritize tasks are essential. • Pleasant personality with a positive work attitude, excellent interpersonal and written communication skills, and the ability to work independently. • Proficiency in both written and spoken English and Bahasa Malaysia. • Computer literate with proficiency in Microsoft Office; experience with virtual platforms (e.g., Zoom, Google Meet) is preferred. Responsibilities: • Design and prepare CPD brochures for MACS seminars/webinars using Canva. • Request quotations from hotels for MACS seminars/conferences and forward them to the Finance department for payment/deposit arrangements. • Liaise with MACS speakers to ensure seminar materials are submitted on time. • Prepare seminar materials and coordinate with MACS state representatives to track attendee numbers. • Monitor payments received through the MACS Membership System and directly from the MACS Public Bank account for seminar registrations. • Conduct email blasts and WhatsApp notifications to members regarding upcoming MACS seminars/webinars. • Prepare and email e-Certificates of Attendance to participants within two weeks after the seminar. • Issue invoices and official receipts for MACS seminars and conference participants (if applicable). • Assist with the preparation of conference participant lists and certificates of attendance. • Host webinar sessions via Zoom platform. • Prepare Income & Expenditure reports for past CPD seminars. • Prepare Withholding Tax Computation for a 6-month period. • Apply for programme registration with HRD Corp. as a Training Provider, prepare documentation, and submit claims after the training is completed. • Provide general administrative support for day-to-day operations
