Job Title: Trust Officer

Department: Operations

Duties and Responsibilities

The candidate will be involved in the administration of the corporate trust, private trust and custodian portfolios for example private debt securities, sukuk, e-monies, trust administration and other portfolios of which the scopes of works include but not limited to the following which are subject to change as the head of department (“HOD”) and/or management of company (“Management”) think fit:-.

i. Handle the opening and closing of accounts (for example current account, virtual accounts, investment account, STMMD, forex, fixed income, foreign cash and custody account;

ii. Manage, administer and/or execute clients’ instructions from time to time include but not limited to prepare and monitor placement of funds for client’s accounts, to arrange for meeting(s) and to provide authorised information reports and/or updates;

iii. Manage and administer portfolios assigned and/or relieved at all times include but not limited to vet review and/or comments documents, attend documentation meetings, communicate with relevant parties both internal and external in the respective portfolios, monitor and ensure the compliance of the terms undertakings and covenants stated therein the relevant agreements;

iv. Attend to queries and meetings with clients, solicitors, bankers, advisors, accountants, relevant stakeholders, regulators and any relevant parties as and when required from time to time;

v. Prepare proxy forms, facilitate EGM, AGM and/or any meetings when required and/or requested to be held includes but not limited to request for ADIs list, compile bondholders’ list, communicate with all relevant stakeholders of the portfolios, vet comment and review proposed resolutions, circulate notice of meetings, take minutes of EGM, AGM and/or any meetings, announce result of proposed resolutions to all relevant stakeholders after polling and report to regulators;

vi. Conduct meeting with clients on service level, client issues (if any), prepare service review minutes, follow up on any outstanding matters with periodic update to the clients until resolution;

vii. Prepare correspondences, consent letters, reports, minutes of meeting, notices and update new covenant in the trust deeds and agreements

viii. Ensure the periodic accounts are updated by the finance team; and

ix. Perform any other tasks, assignments and responsibilities as assigned and required by superior and management from time to time.

Requirements

1. Minimum 1 year relevant experience;

2. Understands the duties, roles and responsibilities of a trustee, its fiduciary duties, operational risks and impacts on the company should there be any failure includes but not limited to negligence, default and/or misconduct of an individual trust officer;

3. Possess Degree in Law / Accounting / Business Studies/Administration / Economics or equivalent; Diploma holders will be considered if candidate has more than the minimum relevant experience;

4. Have some experience in engaging with issuers, bondholders, investment bankers, solicitors and regulators will be an advantage;

5. Strong English communication and written skills;

6. Meticulous and highly disciplined in meeting deadlines;

7. Able to work independently and under pressure;

8. Good time management and organizational skills;

9. Self-motivated and has a pleasant personality;

10. Computer literate and excellent knowledge of MS office; and

11. Be a good team player.
