Job Summary: We are seeking a personable and highly organized Front Desk Receptionist / Administrative Assistant to join our physiotherapy center. In this role, you will be the first point of contact for our patients, managing front desk operations and a range of administrative tasks to ensure smooth daily operations and a positive patient experience. Key Responsibilities: Greeting & Communication: Welcome patients and visitors with a friendly, professional demeanor. Answer incoming calls, emails, and inquiries regarding appointments, services, and billing information. Appointment Management: Schedule, confirm, and coordinate patient appointments using our scheduling system. Assist patients with rescheduling or cancellations as needed. Administrative Support: Maintain and update accurate patient records and files while ensuring confidentiality. Process billing, manage invoices, and handle payment transactions. Assist in preparing reports, data entry, and general office documentation. Office Coordination: Manage office supplies and maintain a clean, organized reception area. Liaise with physiotherapists and other staff to support clinic operations. Customer Service: Address patient concerns and provide information about the center’s services. Ensure a high standard of service that enhances patient satisfaction and retention. Qualifications and Requirements: High school diploma or equivalent; additional certification or coursework in administration, customer service, or healthcare is an asset. Prior experience in a receptionist or administrative role, preferably within a healthcare or clinical setting. Proficient in using MS Office (Word, Excel, Outlook) and familiar with scheduling software. Excellent verbal and written communication skills. Strong organizational skills and the ability to multitask in a fast-paced environment. A friendly, approachable personality with a commitment to providing exceptional customer service. Basic understanding of confidentiality standards and healthcare regulations is preferred.
