Discovering the role

This position is responsible for managing and maintaining project documentation to ensure compliance with company and industry standards. This role involves organizing, tracking, and distributing documents efficiently to support project teams and stakeholders.

Main Responsibilities

  • Maintain and manage all project documentation, including drawings, contracts, reports, and specifications.
  • Implement and oversee document control procedures to ensure compliance with company policies and industry regulations.
  • Ensure all documents are properly categorized, indexed, and stored in the document management system.
  • Control the distribution of documents to internal teams, clients, and contractors, ensuring timely access to necessary information.
  • Regularly update and maintain document logs, tracking revisions, approvals, and submissions.
  • Assist in the preparation and submission of reports, ensuring accuracy and completeness.
  • Coordinate with project managers, engineers, and other stakeholders to facilitate document flow and compliance.
  • Conduct periodic audits to ensure document integrity and compliance with quality management systems.
  • Manage confidentiality and security of sensitive documents.

Requirements

  • Diploma or Bachelor's degree in Business Administration, Engineering, or a related field.
  • Minimum of 2-3 years of experience in document control, preferably in the construction, security, or technology industry.
  • Familiarity with document management systems and project documentation processes.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong communication and coordination skills.
  • Knowledge of ISO standards and quality management systems is an advantage.
