Special Officer to Vice Chancellor
The Special Officer to the Vice-Chancellor (VC) plays a crucial role in providing executive support, strategic coordination, and administrative assistance to ensure the effective functioning of the Vice-Chancellor's office. This position requires a highly organized, proactive, and discreet individual who can handle sensitive information, liaise with internal and external stakeholders, and manage high-level tasks with professionalism and efficiency. The Special Officer will also represent the Vice-Chancellor in engagements with government agencies, regulatory bodies, and funding organizations.
Key Responsibilities: 1. Executive Support & Advisory- Provide direct support to the Vice-Chancellor in executing strategic and operational priorities.
- Conduct research, prepare reports, briefing papers, and presentations for the VC.
- Assist in drafting speeches, official statements, and correspondence on behalf of the VC.
- Monitor and track key university initiatives and ensure timely follow-ups.
- Manage the VC’s schedule, appointments, and travel arrangements.
- Coordinate meetings, prepare agendas, and ensure proper documentation of minutes and follow-ups.
- Act as the first point of contact for inquiries directed to the VC’s office and ensure efficient communication.
- Maintain records, files, and confidential documents related to the VC’s office.
- Act on behalf of the Vice-Chancellor in engagements with Ministry of Higher Education (KPT), Malaysian Qualifications Agency (MQA), and other relevant government bodies to ensure compliance with regulatory requirements.
- Coordinate the submission and approval process for university accreditation, licensing, and academic programme endorsements.
- Stay updated on policies, regulations, and guidelines from KPT, MQA, and other authorities, advising the VC on necessary actions.
- Represent the university in official meetings, discussions, and negotiations with government agencies when required.
- Identify funding opportunities, grants, and financial aid from government agencies, corporate partners, and international organizations for university development, research, and academic programs.
- Prepare and submit proposals, applications, and necessary documentation to secure funding and institutional grants.
- Establish and maintain strong relationships with funding bodies and ensure compliance with grant conditions.
- Monitor the implementation of funded projects to ensure alignment with grant objectives and reporting requirements.
- Assist in the development and implementation of university policies, strategies, and projects.
- Provide analysis and recommendations on key university initiatives.
- Support governance and compliance activities in alignment with institutional goals and regulations.
- Oversee and coordinate special projects and initiatives as assigned by the VC.
- Plan and execute high-profile events, conferences, and meetings involving the VC.
- Ensure seamless execution of university-wide initiatives in collaboration with relevant departments.
