Job Summary:
We are seeking an experienced Assistant Manager, Industrial Relations & Employee Relations (IR/ER) to join our Human Resources team. This role is vital in managing workplace relationships, ensuring compliance with labour laws, and fostering a fair and productive work environment. The ideal candidate will have a strong IR background with expertise in handling employee grievances, disciplinary, and industrial relations related matters.
Key Responsibilities:
Industrial Relations (IR):
1. Manage all disciplinary cases end-to-end, including grievance handling, dispute resolution, investigations, drafting disciplinary letters, and conducting domestic inquiries while supporting effective communication between employees and management.
2. Handle employee misconduct issues, including conducting counselling sessions, issuing show cause letters, warnings, suspensions, terminations, and other IR-related letters.
3. Represent the company in discussions with government bodies and legal representatives as needed.
4. Act as an employee advocate, gathering feedback and addressing concerns to promote a positive work culture.
5. Investigate and resolve workplace issues such as misconduct and performance concerns.
6. Advise management on industrial relations matters and potential risks.
7. Keep abreast of changes in the employment laws or the latest judicial precedents on dispute resolution on matters related to the employment laws.
8. Ensure company policies and practices comply with employment laws and local regulations.
9. Provide guidance to management on IR-related risks and best practices.
10. Address employee grievances and conflicts promptly, ensuring fair and transparent resolutions.
11. Mediate disputes and provide guidance to employees and management.
12. Maintain thorough documentation and records of employee relations cases for compliance and reference.
Employee Relations (ER):
1. Collaborate with stakeholders to foster positive employee relationships and facilitate open communication.
2. Implement strategies to improve employee engagement, satisfaction, and retention.
3. Provide advisory support to management on employee relations policies and best practices.
4. Conduct technical or domestic inquiries as part of investigations.
5. Ensure employee disciplinary matters align with company policies, the Employment Act 1955, and the Industrial Relations Act 1967.
6. Analyze trends in employee relations to proactively address concerns and improve workplace satisfaction.
7. Promote positive employee relations through engagement programs and initiatives.
8. Support initiatives that promote an inclusive, high-performance work culture.
9. Assist in organizing company events, annual dinners, team-building activities, and other engagement initiatives.
Compliance & HR Policy Development:
1. Develop, update, and implement HR and IR SOPs and processes in compliance with local labour laws.
2. Ensure HR policies align with employment regulations and company guidelines.
3. Monitor employee relations trends, providing insights and recommendations to management.
4. Stay updated on employment laws, industry trends, and regulatory requirements to ensure company compliance.
5. Maintain accurate and confidential records of employee relations cases, grievances, and resolutions in line with data protection regulations.
Requirements:
1. Bachelor's degree in Human Resources, Industrial Relations, Law, or a related field.
2. Strong knowledge of Malaysian labor laws, Employment Act, and industrial relations practices (other relevant country experience would be an added advantage).
3. Minimum 7 years of HR experience, with a focus on Industrial Relation and Employee Relations.
4. Advanced reporting and analytical skills.
5. Excellent communication, negotiation, and conflict resolution skills.
6. Strong HR advisory skills with the ability to guide management on employee relations matters.
7. High level of professionalism and discretion in handling sensitive issues.
8. Experience working in a unionized environment is an advantage.
