Job Summary

We are seeking a Corporate Secretarial Executive to join our team in Kuala Lumpur. The main duties for this role are to carry out Corporate secretarial services for our clients, which include prepare directors' / members' resolutions, Annual Return, filing statutory forms with SSM, attend to clients and all other corporate secretarial matters.

Key Role & Responsibilities

  • Provide company secretarial services to a wide range of client companies.
  • Update and maintain as well as take custody (if applicable) of all relevant statutory records, books, forms and documents by ensuring all documents are updated and being stored in SharePoint for data integrity.
  • General administrative work and filing of documents.
  • Ensure progress of all tasks is updated in the individual monitoring list.
  • Perform corporate and secretarial duties (i.e. incorporation, prepare board resolutions and minutes, etc.)
  • E-Meet clients and provide general advice on compliance requirements
  • Ensure all corporate secretarial duties, including company incorporation, annual filing, striking-off, preparation of directors’/shareholders’ resolutions, share allotment and/or share transfers, and amendments to the company constitution for ongoing corporate secretarial matters for clients, are in compliance with legislative and regulatory requirements by SSM.
  • Monitor deadlines and ensure timely submission of statutory forms, returns, and annual filings.
  • Prepare detailed compliance reports and present findings or updates to management
  • Undertake special assignments, ad-hoc functions and related duties assigned from time-to-time.

Qualifications & Requirements

  • Candidate must possess at least Diploma or a Bachelor’s Degree of Corporate Administration or a related field
  • Part Qualification of ICSA, MAICSA, company secretarial practice or Corporate Secretary Management (Note: This is not an administrative, secretarial or personal assistant job).
  • Must have a have a valid LS - Company Secretary License
  • Preferably at least 2 years of working experience in a Corporate secretarial field and preferably in professional firms / private limited companies
  • Familiar with SSM filing procedures
  • Proficient in the Companies Act 2016.
  • Required sill(s): Computer literate in Microsoft Office and related Secretarial Software.
  • Pleasant personality, self-motivated and teamwork.
  • Good organizational skills in relation to documentation and work processes.
  • Possesses a strong sense of responsibility, positive disposition, initiative, high integrity and able to work under strict deadlines.
  • Good interpersonal skills, team player, yet able to work independently in a fast-paced environment.
  • Excellent command of spoken and written English and Bahasa Malaysia skills.
  • Any additional relevant certifications are added advantage

Work Arrangements

  • Location: Office-based in Kuala Lumpur, Malaysia.
  • Working Hours:

Monday to Thursday: 9:00 AM – 6:00 PM

Friday: 9:00 AM – 5:30 PM

Salary Range

RM3,000 to RM4,500 per month, commensurate with qualifications and experience.
