Provide guidance and support to members
- Possess a thorough understanding of IChemE and external registration standards and requirements. Be able to explain clearly and helpfully these, along with the benefit of each option, to prospective and existing members. To ensure that each enquiry becomes a (membership and/or registration) application and the applicant has a tailored and positive service.
- Support applicants and reviewers in the use of the online portal as appropriate
- Communicate panel outcomes via email and phone (including ‘declined’ applications, where sensitivity is required)
- Be able to articulate membership benefits to ensure meaningful and accurate communication with members
- Respond accurately and efficiently to general membership enquiries within agreed timeframes by the most appropriate channel (phone, email, chat etc)
Process membership/registration applications, support related processes
- Independently identifying and prioritising tasks based on business needs, proactively self-assigning workload to ensure efficient progress and timely completion while maintaining flexibility to adapt to shifting priorities
- Manage application process through CRM, portals and other systems as required, ensuring accuracy and timelines. Produce data for analysis and planning and check data for cleanliness
- Ensure operational process documentation is updated and maintained
Proactively take responsibility for liaising with various stakeholders to ensure timely resolution and providing proactive updates on status
- Liaise with IChemE volunteers in a professional and timely manner to ensure information is sent on time and is accurate. Ensure maximum capacity by forward planning and effective communication. Flag issues with capacity
- Provide information and support to panel meetings as required
- Produce registration reports/uploads for licensing bodies following each cycle, to ensure that the correct information is provided for each registrant
- Assist with the production of operational reporting
- Carry out reconciliation of registrant data as required
- Carry out CPD sampling activities as required
- Assist with the preparation for external, regulator licence reviews
Contribute to continuous improvement
- Identify and call out any areas of concern that could lead to potential non-compliance
- Contribute to continuous improvement initiatives. Constantly seek opportunities to improve service and process
- Perform root cause analysis on issues and recommend corrective actions
- Seek, acquire and act on feedback from applicants and volunteers regarding the membership and qualifications processes
