About This Role:
As a Senior Management Support Executive, you will be responsible for ensuring the smooth administration and success of the Operations department.
You Will Work On:
- Ensuring Accounting Superhero’s services are delivered timely, on budget and complement to client’s standards and expectations.
- Ensuring the department’s adherence to project deadlines laid out by clients.
- Assisting the head of department in managing the departmental strategies and administrative work of the department.
Responsibilities:
- Assist the Operations team in ensuring all clients’ deadlines are tracked and assist in coordinating jobs within Operations department so that clients’ deadlines are met;
- Assist the Operations department in monthly allocation of jobs and ensuring department targets are met;
- Keep track of clients on monthly plans and ensure renewal done before contract expiry;
- Ensuring that all open jobs and job billings are kept on track;
- In charge of clients’ accounting records movements;
- Ensure clients’ onboarding tasks are completed smoothly;
- Assist the formulation of strategies and plans for the Operations department.
- Assist in the planning and executing projects related to Operations department;
- Ensure clients' communication are being attended to timely by Operations department;
- Be a Liaison Officer between Operations department with other departments in the organization;
- Monitor strict adherence to SOPs across all ongoing tasks.
- Assist the management in providing comprehensive oversight of the Operations department and its personnel;
- Manage the reporting of the Operations department's performance to the management;
- Assist the Operations Head of Department in keeping track and reporting of department's KPIs;
- Prepare management reports including minutes of management meeting;
- Support the Operations team where required;
You will also be involved in other tasks as may be assigned or allocated to you by your supervisor/reporting officer from time to time including any administrative matters.
Requirements:
- Candidate must possess at least Degree in Business Administration or related field
- Required language(s): English
- Work experience in other similar roles with an experience of 3-5 years;
- Comfortable liaising with clients
- Highly computer literate in Microsoft Apps (especially Excel), Xero and other various accounting softwares
- Understanding of office management and basic accounting procedures
- Able to manage multiple tasks and priorities simultaneously
- Experience in process improvement and cost-saving initiatives
- Able to work independently and as a team
- Able to meet deadlines
- Have an excellent good interpersonal and analytical skills, and
- Have strong work ethics.
