Job Overview

The Senior Operations and Community Manager plays a pivotal role in overseeing and managing the operations and community aspects of multiple branches within the co-working space company, particularly in Johor Bahru, Kuala Lumpur, and Penang.

This role requires a blend of operational expertise, community-building skills, and leadership capabilities to ensure the smooth functioning of the spaces while fostering a vibrant and inclusive community environment. Working closely with the Director, and the Senior Operations and Community Manager is responsible for providing strategic guidance, executing operational plans, and driving performance across all branches.

Job Responsibilities

Branch Supervision:

  • Provide leadership and strategic direction for the branches in Johor Bahru, Kuala Lumpur, and Penang.
  • Oversee day-to-day operations to ensure adherence to company standards and procedures.
  • Conduct regular visits to each branch to assess operations, address any issues, and provide support to branch managers.

Operations Management:

  • Develop and implement operational policies, procedures, and guidelines for each branch.
  • Monitor and manage facility maintenance, security, and cleanliness to ensure a safe and functional workspace.
  • Coordinate with vendors and service providers to maintain facilities and resolve any maintenance issues promptly.

Community Engagement:

  • Cultivate a vibrant and inclusive community within each branch by organizing events, workshops, and networking opportunities.
  • Foster relationships with members to understand their needs and preferences, and address any concerns or feedback.
  • Implement initiatives to enhance member satisfaction and retention, such as member perks and benefits.

Team Leadership:

  • Recruit, train, and mentor executives and community associates to ensure high performance and adherence to company values.
  • Provide guidance and support to branch teams, including resolving conflicts and providing performance feedback.
  • Foster a positive and collaborative work culture within the operations and community teams.

Budget Management:

  • Collaborate with the finance department to develop and manage budgets for each branch, ensuring efficient use of resources.
  • Monitor financial performance metrics and implement strategies to optimize revenue and minimize expenses.
  • Identify opportunities for revenue growth, such as upselling services or expanding membership options.

Compliance and Risk Management:

  • Ensure compliance with local regulations and company policies across all branches.
  • Identify and mitigate operational risks to safeguard the company's assets and reputation.
  • Implement health and safety protocols to maintain a secure and healthy work environment for members and staff.

Reporting and Analysis:

  • Prepare regular reports on operational performance, community engagement, and financial metrics for senior management.
  • Analyze data and key performance indicators to identify trends, opportunities, and areas for improvement.
  • Use insights from data analysis to make informed decisions and drive operational excellence across all branches.

Strategic Planning and Execution:

  • Collaborate closely with the Director to develop and execute strategic plans for the branches in Johor Bahru, Kuala Lumpur, and Penang.
  • Provide insights and recommendations to the Director based on market research, industry trends, and operational data.
  • Assist in setting performance targets and objectives for each branch, and track progress towards goals.

Communication and Coordination:

  • Serve as a primary point of contact between branch operations and senior management, facilitating effective communication and alignment of priorities.
  • Participate in regular meetings with the Director to provide updates on branch performance, community engagement initiatives, and operational challenges.
  • Coordinate cross-functional projects and initiatives involving multiple departments, ensuring seamless execution and alignment with company objectives.

Decision Support and Problem Solving:

  • Provide input and recommendations to the Director on key operational and strategic decisions, drawing on in-depth knowledge of branch operations and community dynamics.
  • Collaborate with the Director to identify and address operational challenges and opportunities, proactively seeking solutions to enhance efficiency and effectiveness.
  • Assist in resolving escalated issues or conflicts within the branches, leveraging strong problem-solving skills and interpersonal communication.

Performance Evaluation and Improvement:

  • Work closely with the Director to assess branch performance against established targets and benchmarks, identifying areas for improvement and implementing corrective actions as needed.
  • Assist in conducting performance evaluations for branch managers and community staff, providing constructive feedback and guidance for professional development.
  • Support the Director in implementing initiatives to drive continuous improvement in operational processes, community engagement strategies, and overall business performance.

Representation and Relationship Management:

  • Represent the company in external engagements, industry events, and partnership opportunities, as directed by the Director.
  • Build and maintain relationships with key stakeholders, including members, vendors, local authorities, and industry partners, to support the company's growth objectives.
  • Collaborate with the Director to negotiate contracts, partnerships, and other agreements that contribute to the success of the branches and the broader company goals.

Job Requirements

  • Bachelor’s Degree preferred
  • Minimum 5 years of working experience in a relevant field
  • Good interpersonal and communication skills
  • A collaborative team player and able to multi-task and work in a fast-paced and dynamic environment
  • Proficient in English and Mandarin (preferably) to communicate with Mandarin-speaking clients.
