Key Responsibilities
Maintenance Planning & Scheduling:
- Develop and maintain a comprehensive maintenance schedule for equipment, machinery, or facilities.
- Coordinate with maintenance supervisors and technicians to ensure timely and effective completion of tasks.
- Monitor and update work orders, ensuring proper prioritization of tasks.
- Maintain detailed records of maintenance work, including schedules, work orders, and inspections.
- Prepare and submit regular reports on maintenance activities, including equipment status, downtime, and costs.
- Analyze and provide recommendations to improve maintenance operations.
Financial Management :
- Ensure that all maintenance-related financial documentation (invoices, purchase orders, contracts) is accurate and up to date.
- Maintain a financial record-keeping system for all maintenance expenditures and processes.
- Work closely with senior management to make data-driven decisions that align maintenance objectives with the organization’s overall financial goals.
- Track and analyze spending trends to identify areas for cost reduction.
- Oversee the financial aspects of purchasing equipment, spare parts, and maintenance services.
- Identify and implement strategies to reduce unnecessary expenditures in maintenance operations.
- Ensure that all vendor contracts are aligned with budget constraints and financial objectives.
- Work with vendors and suppliers to negotiate pricing and manage procurement in a cost-efficient manner.
- Evaluate vendor performance from both a cost and service quality perspective, ensuring that financial resources are spent wise.
Team Management & Support:
- Provide administrative support to the maintenance team and leadership.
- Train and mentor junior administrative staff to ensure high levels of efficiency and accuracy.
- Serve as a liaison between the maintenance team and other departments within the organization.
Continuous Improvement:
- Identify opportunities for improving maintenance processes and cost-efficiency.
- Collaborate with management to optimize maintenance strategies, focusing on reducing downtime and extending equipment lifespan.
Qualification
Educations:
- Bachelor’s degree in Facilities Management, Business Administration, or a related field (preferred).
Experience:
- 3+ years of experience in maintenance administration, facilities management, or a related area.
- Previous experience in managing maintenance schedules, budgets, and procurement is a plus.
Skills:
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Proficient in Microsoft Office Suite
- Knowledge of safety regulations and compliance standards in maintenance environments.
