Job Overview: The Accounts Payable (AP) Specialist is responsible for ensuring that all vendor invoices and payments are processed in a timely and accurate manner. This role involves working closely with other departments to maintain financial accuracy and uphold the company’s relationships with external vendors.
Key Responsibilities:
- Invoice Processing: Review and process invoices for payment, ensuring all are accurate, authorized, and comply with company policies.
- Vendor Management: Maintain and update vendor records, ensuring contact details and payment terms are accurate.
- Payment Processing: Schedule and process payments to vendors via bank transfers, and credit cards. Ensure timely payment while taking advantage of any available discounts.
- Reconciliation: Reconcile vendor statements to the company’s accounts payable ledger and resolve any discrepancies.
- Staff Claims Processing: Process staff claims for travel, meals, and other reimbursements, ensuring all supporting documents are accurate and comply with company policies.
- Sales and Service Tax (SST) Management: Ensure proper application and calculation of Sales and Service Tax for transactions. Maintain accurate records for SST filings and liaise with the finance team to ensure compliance with SST regulations.
- Record Keeping: Assist in month-end and year-end closing processes, maintain organized and up-to-date records of all accounts payable transactions for auditing and reference purposes.
- Communication: Respond to vendor inquiries regarding payments, invoices, and other account-related issues.
- Compliance: Ensure all payments are processed in accordance with company policies, accounting standards, and legal regulations.
Qualifications:
- Education:
- Diploma / Degree in Accounting, Finance, or a related field.
- Experience:
- Fresh graduates are encouraged to apply!
- Candidates with 1-2 years of relevant experience in Accounts Payable (AP) or general accounting will have an advantage.
- Skills & Competencies:
- Basic knowledge of accounting principles and processes (AP, general ledger, etc.).
- Proficient in Microsoft Excel and accounting software (experience with Autocount) is a plus).
- Strong attention to detail and accuracy.
- Good time management skills, with the ability to meet deadlines.
- Ability to work independently and as part of a team.
- Language Proficiency:
- Able to communicate and write in English and Bahasa Malaysia.
- Mandarin proficiency is an added advantage (to liaise with Mandarin-speaking counterparts, if applicable).
