Responsibilities (Summary)

This position is responsible for the direction and management of the Corporate Services and for ensuring the provision of high level systems and services for all administrative function within TERAJU, including Human Resources, Finance, Procurement and Administration, Legal and Secretarial, Corporate Communications and other related support activities.

This position will also oversee the organization of the corporate office and the development and maintenance of company business practices, policies and procedures, personnel files (including employees database), and associated functions of each and is also required to act based on the delegated Limit of Authority by the Board.

Job Description

Leadership & General Management

  • Provide positive and professional leadership to staff in the Corporate Services, ensuring that the division is well managed to support the activities of the company.
  • Contribute to the management of the Company, as a member of the senior management team, by participating in the generation of new ideas and initiatives.

Legal & Secretarial

  • To take lead on the Legal & Secretarial functions, ensuring the provision of legal advice services and legal solutions and advice to the Chief Executive and senior management team, including managing internal and outside legal services to ensure full compliance with contractual and regulatory obligations.
  • To ensure that all of the legal needs are met in a timely and professional manner and the commercial interests are protected from legal risks and liabilities.

Financial Management / Procurement

  • To manage the finance function, ensuring proper administration of the Company’s financials affair; advising and assisting the Head of Division and other Senior Management on budget and financial planning strategies; monitoring and revising the budget in line with changing demands and projected out-turns; and preparing the annual financial statements;
  • To ensure effective control and management of the Company’s income and expenditure;
  • To ensure the provision of meaningful, accurate and timely management accounting and performance measurement information to the Management;
  • To manage all tendering and procurement activity in accordance with Ministry of Finance (Treasury) guidelines and legislation.

Corporate Communications

  • To lead the corporate communications initiatives for promoting TERAJU and its programmes, works closely with appointed agency to develop and deliver strategic communication plan and manage delivery of TERAJU’s social media platforms.
  • Focus shall be on Strategic communication, PR and Media, Event Management, and the development, production and inventory of brochures, buntings and banner, promotional materials etc.

Human Resource Management

  • To manage the human resource functions, ensuring the provision of advice on HR matters including the development and review of relevant HR strategies, policies and procedures;
  • To provide advice and guidance to the Management team on organisational development matters;
  • To ensure the provision of a range of services including recruitments and selection, training and development; performance management; disciplinary and grievance, procedures; payroll.

Administration

  • To oversee administrative duties which include management of office building, day-to-day operational tasks and HSE functions;
  • To implement digitisation exercise in converting manual/hard copy files into digital records.
