Job Summary
- We are seeking a highly organized and detail-oriented Administrative Assistant – Project & Facilities Administration to support both project management and facilities maintenance operations. This role involves coordinating administrative tasks, assisting with project activities, and ensuring the smooth functioning of facility-related services. The ideal candidate will have strong multitasking abilities, excellent communication skills, and proficiency in office, facility management, and enterprise resource planning (ERP) tools, particularly SAP.
Role Purposes
Key Responsibilities:
• Provide administrative support to the project management team, including scheduling meetings, preparing
reports, and maintaining project documentation.
• Assist in project coordination by tracking deadlines, milestones, and deliverables.
• Maintain and update project files, records, and databases for accuracy and accessibility.
• Communicate with internal teams, vendors, and stakeholders to facilitate smooth project operations.
• Prepare and distribute meeting minutes, project reports, and presentations as required.
• Assist in budgeting and expense tracking for project-related costs.
• Ensure compliance with company policies and project guidelines.
• Utilize SAP to submit invoices and prepare reports.
• Facilities Maintenance Administration:
• Coordinate facility maintenance activities, including scheduling repairs, inspections, and service requests. • Maintain records of maintenance work, vendor contracts, and equipment servicing.
• Assist in managing facility-related budgets and tracking expenses using SAP. • Communicate with vendors, contractors, and internal teams to ensure timely maintenance and repairs.
• Ensure compliance with safety and regulatory requirements for facility operations.
• Monitor office supplies, equipment, and facility needs, ordering replacements when necessary.
Requirements:
• Proven experience as an administrative assistant.
• Strong organizational and time-management skills with attention to detail.
• Proficiency in SAP for project and facility-related data management, reporting, and expense invoicing.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and facility/project management tools.
• Excellent communication and interpersonal skills.
• Ability to handle multiple tasks and meet deadlines in a fast-paced environment.
• Knowledge of project management and facility maintenance best practices is a plus.
It is crucial that the PT needs to train the invoice submission with the APSSC Team in Dubai.
