Department: Human Resources Reporting To: Assistant HR Manager & HR Manager Job Purpose: To support the Human Resources department by assisting in recruitment processes and providing efficient administrative support to ensure smooth daily operations. Key Responsibilities: Recruitment Support: • Assist in the end-to-end recruitment process, including job posting, screening resumes, scheduling interviews, and communicating with candidates. • Prepare interview materials and coordinate assessment arrangements. • Maintain an updated database of applicants and recruitment records. • Assist in onboarding new employees, ensuring completion of all required documentation and orientation processes. HR Administration: • Prepare and maintain employee records, ensuring accuracy and confidentiality. • Assist with the preparation of HR-related letters, such as offer letters, confirmation letters, and employment contracts. • Support the leave management process and ensure accurate leave records. • Coordinate medical claims, attendance tracking, and other employee welfare matters. General Administration: • Provide administrative support for HR events, training sessions, and employee engagement activities. • Handle inquiries from employees and provide timely assistance. • Maintain and update HR policies and procedures documentation. • Ensure proper filing and organization of HR documents, both digital and physical. Compliance & Reporting: • Assist in the preparation of reports related to recruitment, employee records, and HR metrics. • Ensure compliance with employment laws and company policies. • Support audits and inspections by providing necessary HR documentation. Key Requirements: • Diploma or Bachelor’s degree in Human Resources, Business Administration, or a related field. • 2-3 years of experience in HR or administrative roles preferred. • Strong organizational and multitasking skills with attention to detail. • Excellent written and verbal communication skills. • Proficiency in Microsoft Office Suite and HR software systems. • Ability to maintain confidentiality and handle sensitive information.
