The Operations and Administration officer will oversee and manage daily operations and administrative functions within the department. This position is critical to ensuring that the department are efficiently managed, business operations are streamlined, and administrative processes are effective. The individual in this role will work closely and coordinate with internal team members as well as other departments.

NEED TO DO SCOPE & AUTHORITY

  • Provide administrative support to direct superior and senior management as required.
  • Maintain and organize office records, files, and documentation.
  • Handle incoming phone calls, emails, and other forms of communication.
  • Support day-to-day operations to ensure efficient workflow across the organization.
  • Monitor and maintain the operational processes to ensure that they align with company objectives. Assist in the development and implementation of operational policies and procedures.
  • Assist in managing and coordinating operational projects.
  • Help to ensure that projects are completed on time, within budget, and according to specifications.

KEY RESULT AREAS

  • Ensuring smooth communication and collaboration between departments.
  • Helping align administrative and operational goals in the department
  • Regular reporting to your superior on the status of operations and administrative functions. Identifying trends and areas of improvement based on data analysis.
  • Track and analyze key performance indicators (KPIs) related to operational efficiency and productivity.
  • Prepare reports on operational performance and provide recommendations for improvement. Supervise the operations team, assigning tasks, and ensuring deadlines are met.

WORK EXPERIENCES

Qualifications:

  • Bachelor’s degree in Business Administration, Operations Management, or related field.
  • 1-2 years of experience in administration, operations, or a similar role.
  • Proficient in MS Office Suite (Excel, Word, PowerPoint).
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Problem-solving attitude with attention to detail.
  • Ability to work independently and as part of a team.
  • Knowledge of office equipment and supply management is a plus.

Desired Skills:

  • Familiarity with project management software (e.g., Asana, Trello).
  • Experience in managing office facilities and resources.
  • Strong time-management and prioritization skills.
