Position Responsibilities:

1. information Gathering & Coordination

  • Act as the central point for collecting franchise-related updates from different departments (e.g., Marketing, Tech, Design & Build, Operations, Academy, Supply Chain, etc.).
  • Ensure franchise policies, compliance guidelines, and operational updates are documented and accessible.
  • Maintain an up-to-date repository of key franchise documents, contracts, reports, and SOPs.

2. Process Management & Documentation

  • Support in structuring and streamlining franchise workflows and processes.• Document and standardise franchise operations procedures to ensure consistency across markets.
  • Track and follow up on operational deadlines and franchise compliance requirements.
  • Assist in developing and refining operations checklist, training guides, and best practice manuals.
  • Identify opportunities to optimize and automate recurring administrative tasks

3. Communication & Support

  • Assist in facilitating meetings, preparing reports, and tracking action items for franchise operations.
  • Ensure franchise partners receive necessary operational updates in a timely and structured manner.
  • Served as a liaison across different departments and international franchisees.
  • Organise and coordinate franchisee engagement sessions, workshops, and training events.

4. Performance Tracking & Reporting

  • Collect and consolidate franchise performance data, identifying key trends and insights.
  • Assist in preparing franchise reports for leadership review.
  • Ensure data accuracy and completeness in franchise-related reporting systems.
  • Conduct benchmarking analysis on franchise performance and identify areas for improvement.

5. Compliance & Risk Management

  • Ensure franchisees adhere to company policies, operations guidelines, and brand standards.
  • Maintain records of franchise assessments and audits, ensuring proper documentation of compliance checks.

6. Cross-Departmental Collaboration

  • Work closely with various departments to consolidate franchise-related data.
  • Support communication between franchisees and internal stakeholders.
  • Assist in tracking actions items and ensuring timely execution of franchise initiatives.
  • Help coordinate marketing campaigns, product launches, and promotional initiatives with franchise partners.

Key Deliverables

  • Franchise Operations Dashboard – Regularly updated and maintained for leadership review.
  • Standard Operating Procedures (SOPs) Repository – Ensuring all key franchise processes are documented and up to date.
  • Monthly Franchise Performance Reports – Summarizing key data points and trends.
  • Cross-Department Coordination Reports – Documenting updates and tracking action items from various departments.
  • Compliance & Process Tracking Sheets – Ensuring all franchisees meet operational and brand compliance requirements.
  • Meeting Minutes & Follow-up Action Plans – Structured documentation of franchise-related meetings and their outcomes.

Qualifications & Experiences

  • Bachelor's degree in Business Administration, Operations Management, or a related field.
  • 2-4 years of experience in franchise operations, business coordination, or a similar role.
  • This role requires low to medium overseas travel for official duties.
  • Strong organizational and analytical skills with the ability to process and consolidate large amounts of information.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and project management tools.
  • Ability to multitask, meet deadlines, and work in a fast-paced international environment.
  • Experience in the F&B or coffee industry is a plus.
