1. Employee ManagementOnboarding:

Facilitate the onboarding process, including document collection, background verification, and system setup.

Conduct new hire orientations and ensure smooth integration into the organization. Offboarding: Manage resignation, retirement, or termination processes, ensuring proper final settlements and exit interviews.

Ensure compliance with clearance procedures and system deactivation. Employee Movement: Manage employment changes such as promotions, transfers, and contract renewals.

2. Uniform Management

Assess uniform needs by working with department heads and employees.

Coordinate with suppliers to source quality uniforms within company standards.

Ensure timely ordering and delivery of uniforms while negotiating pricing and terms to stay within budget.

Track uniform stock levels and ensure availability for new hires or replacements.

Monitor uniform-related expenses to ensure they stay within budget.

3. Payroll Management

Assist in managing and overseeing the end-to-end payroll process, ensuring timely and accurate salary disbursements.

Verify payroll data, including working hours, overtime, deductions, and allowances.

Ensure compliance with statutory contributions (e.g., EPF, SOCSO, EIS) and local tax regulations.

Prepare payroll reports for internal reviews and external audits.4. Human Resource Management System (HRMS)Assist in managing and maintaining the HRMS for efficient HR operations, ensuring system data accuracy.

Monitor system performance, troubleshoot issues, and coordinate resolutions or upgrades with vendors.

Generate and analyze HR analytics, including headcount, benefits utilization, and attendance trends to support decision-making.

Conduct regular HRMS data audits to ensure compliance with labor laws and data protection regulations.

Provide training and guidance on HRMS features such as time management, leave applications, and performance appraisals.

5. Performance Management

Assist in managing the performance appraisal process (MBO) and ensure timely submissions.

Verify the accuracy of ratings by reviewing the e-performance appraisal system.

Coordinate MBO-related processes, including scheduling appraisal interviews.

Assist in rewards management processes, including increments and bonuses.

Maintain records related to the MBO process, both soft and hard copies.

6. HR Policy Implementation and Compliance

Assist in drafting, updating, and enforcing HR policies and procedures.

Ensure HR processes align with local labor laws and company policies.

Monitor adherence to established policies, job descriptions, and documentation guidelines to maintain consistency and compliance.

7. Employee Support and Engagement

Conduct briefings and training sessions on HR policies to enhance employee understanding.

Communicate updates to HR policies and regulations across the organization.

Conduct onboarding sessions to familiarize new employees with company terms, benefits, and HRMS.

8. Insurance and Medical Benefits Management

Assist in maintaining and updating employee insurance details for new hires, terminations, and changes in employment status.

Ensure timely medical reimbursements to avoid disruption in outpatient usage.

9. Personnel Records Management

Maintain accurate and up-to-date employee records in compliance with data protection regulations.

Ensure efficient record-keeping to support HR decision-making and reporting needs.

10. Reporting and Analytics

Prepare routine reports on employee movement and other HR metrics as required by Superior / Management.

11. Events and Other Duties

Assist in organizing company event such as annual policy meetings and dinners, in alignment with management's vision.

Assist in preparing the annual HR budget, ensuring alignment with organizational goals.

Support the yearly audit process by preparing necessary reports and documents.

Maintain accurate employee records and oversee HR documentation management.

Perform ad-hoc duties or tasks as assigned by management.
