Administrative Duties
- Manage Company Secretary (COSEC) matters, ensuring compliance with regulatory requirements.
- Prepare, review, and file COSEC paperwork accurately and on time.
- Coordinate with third-party providers (e.g., company secretaries, regulatory bodies, lawyers) and internal teams for documentation and filing.
- Maintain an organized filing system for corporate documents, ensuring compliance and easy retrieval.
- Assist in preparing and submitting statutory forms/returns and handle other administrative tasks as needed.
HR Duties
- Process payroll accurately, ensuring compliance with local labor laws.
- Maintain and update HR records (e.g., employee files, leave, attendance).
- Assist in drafting HR documentation (e.g., contracts, confirmation letters).
- Support onboarding and offboarding processes.
Accounting Duties
- Maintain accurate financial records and prepare statements/reports for management.
- Coordinate with departments for timely financial data collection and resolve account discrepancies.
- Support audits by providing necessary documentation.
- Monitor transactions, manage outstanding obligations to suppliers/vendors, and ensure timely payments/reconciliations.
Qualifications and Requirements
- Min Diploma in Accounting, Finance, Business Administration, or a related field.
- Minimum of 2-3 years of experience in a similar role, preferably within an investment holding company or corporate environment.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and accounting software (e.g., QuickBooks, SAP, or similar).
- Knowledge of COSEC-related processes and compliance requirements in Malaysia.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Excellent communication and interpersonal skills, with the ability to coordinate with internal and external stakeholders.
- High level of integrity, attention to detail, and ability to maintain confidentiality.
