  • Organize and maintain the Director’s calendar; schedule meetings and appointments, ensuring optimal time management.
  • Ensuring all logistical details are addressed which including reservations, itineraries, accommodations, ground transportation, and expenses ensuring all logistical details are addressed.
  • Making complex travel arrangements (including international), hotel bookings, visa requirements etc. with minimal supervision, within known preferences.
  • Able to handle sensitive information with discretion and maintain the highest level of confidentiality.
  • Managing personal matters of the director.
  • Prepare, proofread, and finalize correspondence, reports, presentation slides, and other documents for the Director, while acting as the primary point of contact for internal and external communications, responding to inquiries and relaying information effectively
  • Maintain and organize both electronic and physical filing systems, ensuring proper documentation and easy retrieval.
  • Take accurate and detailed meeting minutes, ensuring key points, decisions, and action items are recorded and distributed to relevant divisions/departments promptly.
  • Assist in managing and tracking project timelines, deliverables, and budgets; collaborate with teams to ensure project goals are met.
  • Coordinate with the driver on the Directors’ travelling needs and assist in track and review the driver’s monthly overtime claim.
  • Perform ad-hoc administrative tasks as needed by the management team.
  • Minimum of 2 years of experience as a secretary or in a similar administrative role.
  • Candidate must possess at least a bachelor’s degree in Business Studies/ Administration/ Management, Secretarial or equivalent.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent in written and verbal communication skills in English and Bahasa Malaysia. Proficiency in Mandarin is an advantage for this role, as IT is required to liaise with Chinese-speaking stakeholders.
  • Excellent organizational and time management skills with attention to detail.
  • Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
  • Ability to maintain confidentiality and exercise discretion.
  • Strong interpersonal skills and a positive attitude.
  • Must have access to own transportation.
