Visa & Work Permit Management:
- Handle student visa applications and other immigration-related processes.
- Liaise with the relevant government authorities to manage work permit applications and ensure all employees are compliant with immigration laws.
- Facilitate the process of obtaining, renewing, transferring, and canceling foreign work permits and ESD Employee Pass for foreign staff.
Liaising with Authorities:
- Act as a liaison with the Labor Department and other government agencies to ensure compliance with employment laws and regulations.
- Act as liaison with a local government authorizes i.e. LHDN, KWSP, PERKESO.
- Handling all proses related to hospitalization and GPA (Group Personal Insurance).HR
Documentation and Policy Review:
- Regularly review and recommend improvements for HR documentation and policies.
- Ensure that company policies align with government directives and inform top management of updates.
Recruitment & Staffing:
- Source and select candidates for various job openings within the company.
- Design, implement, and manage job advertisements, recruitment campaigns, and candidate interviews.
- Oversee recruitment efforts, including writing and placing job ads, conducting interviews, and arranging appointments with candidates.
Employee Relations and Disciplinary Actions:
- Assist in managing employee relations issues, including disciplinary procedures and conflict resolution.
Compensation & Benefits:
- Assist in implementing revisions to the company's compensation program, as directed by top management.
- Ensure accurate and up-to-date records are maintained for all department documents and reports related to compensation and benefits.
Staff Documentation & Reporting:
- Oversee the preparation and maintenance of HR documents, records, and reports.
- Maintain organizational charts and company directory.
Policy Development & Administrative Support:
- Contribute to the development of HR department goals, objectives, and systems.
- Recommend and implement new policies, approaches, and procedures to top management.
- Assist with administrative tasks and coordinate with superiors on special projects or tasks.
Exit Interviews & Employee Termination:
- Oversee exit interviews, ensuring that feedback is collected and addressed.
- Manage all documentation and procedures related to employee departures.
General HR Administration:
- Participate in administrative staff meetings to discuss HR-related matters.
- Perform any other duties assigned by superiors as needed.
- Assist in managing employee relations issues, including disciplinary procedures and conflict resolution.
Education:
- Bachelor's degree in Human Resources, Business Administration, Law, or related field.
- Certification or diploma in Human Resources or Immigration Management is a plus.
Experience:
- Minimum 3 years of experience in visa and work permit management or HR.
- Experience dealing with government agencies (e.g., LHDN, KWSP, PERKESO) and immigration laws.
- Experience in recruitment, interviewing, and managing job campaigns.
Skills & Abilities:
- Immigration Knowledge: Understanding of local and international immigration laws and processes.
- Communication Skills: Proficient in both Malaysia and English, with the ability to liaise effectively with authorities and employees.
- Organizational Skills: Ability to manage documents, records, and reports accurately.
- Problem-Solving: Able to handle employee relations, disciplinary issues, and conflicts professionally.
- IT Skills: Proficiency in MS Office and HR management software.
- Management Skills: Capable of planning and coordinating tasks efficiently.
